Hi everybody, in our office, pen drives are banned, but we have noticed that some individuals are still using them. My boss has tasked me with drafting a warning letter addressing this issue. I would appreciate your assistance with this matter.

Hi Garima, the best solution to your problem can be implemented by your IT department. You can ask them to disable the use of these devices and also install software to prevent the use of unauthorized hardware with office computers.

It is not feasible to monitor every employee at all times, and a warning letter may not be effective in this situation.

Hi Garima, the best solution to your problem is to have your IT department handle it. Ask them to remove the devices that are not permitted for use with PAN devices. Additionally, they can utilize software to restrict the use of unauthorized hardware with your office computer.

It is not feasible to monitor every employee at all times, and issuing a warning letter may not necessarily prevent such incidents in the future.

I suggest asking your IT (Network or System Admin) to disable USB serial controls to prevent further unauthorized usage with admin rights.

If it is a small company with fewer employees, then I understand that the IT department may not be present. In that case, the warning letter posted above will work.

I don't have the letter, but here is the way to block it permanently.

Steps to Block USB Storage Permanently

Start → Run → regedit - Press Enter.

Why roam around the bush? Why not follow a simple solution? Disable the pen drive utility in the PC itself! Doesn't it look simpler than issuing letters, policing afterwards, etc. Please call your PC administrator and disable it immediately!

I don't think a warning letter or circular will work because the person who needs to do it will likely take advantage of times when you are not around. Therefore, disabling the USB port seems like the best idea.

Instead of issuing a notice, it is better to disable USB connections on all machines. Please instruct your IT department to disable all USB connections.

Hi, Gramia, if you have installed Quick Heal Total Security on your PCs, then just go to options and disable the USB connectivity. No one will be able to connect the same. Even if anyone connects it, they will not be able to use/open/transfer data from the PCs.
