Facing a Showcase Notice: How Should I Respond to HR About an Accidental File Deletion?

Today, I have received a showcase notice from my management and I need to reply within 48 hours. Can you please help me with the format for replying to the letter? This is a simple case. There were two sheets in an Excel file. I copied the file from the common drive to my folder in the common drive. One sheet was accidentally deleted by me without my notice and saved in the common folder. This came to my notice a few days later.

Management is seeking my intention regarding this accidental deletion of the file. I have explained this to my superior and management. However, they are requesting me to write a letter on this matter repeatedly.

I am concerned whether this incident will be treated as a warning or if I will be given a two-month termination notice. I am a confirmed employee in the organization.

If the company deems you surplus or your immediate boss wants you out, confirmation is not an issue. Things will work out fine. Don't get tensed or worry unnecessarily. Talk only to the people concerned - your higher-ups and not your colleagues. Some will twist the issue and make a mountain out of a molehill. Also, no loose words from your mouth. This happened accidentally and will be acknowledged as such.
