Any program, for that matter, has to start from the budget available for the event. Once this is with you, then you can plan accordingly.
The program for the day can be emailed to employees a week before so that they are aware of the agenda and can plan the day accordingly. Make sure the email should have the following contents: Venue, Start Time & End time with the Date of the event, Pickup details, and drop details, A snapshot of the program.
The day can start with breakfast; if so, then your time should be planned accordingly. The first half of the day could comprise of some sports events like cricket, football, volleyball, exploring the resort, and leaving employees to be on their own for some duration with a break for snack/coffee/refreshments if possible around 11:30 a.m and lunch between 1:00 and 2:30 p.m. Relaxation between 2:30 p.m and 3:30 p.m followed by tea/coffee and snacks. 4:30/5:00 p.m will be a good time to start the evening program which can start with an opening speech by the HR Director and followed by some cultural events, Ramp, etc. In between, conduct the prize distribution for the winners of the games played in the first half, recognition/speech on achievements for the year, etc. Thank you speech. Plan to end the program by 7:30 p.m. Throw open the dance floor along with drinks/dinner simultaneously so that employees can choose whatever option they need.
Note: Cultural programs - sports, games, practice, costumes, etc., should be planned at least 1 to 1.5 months before the event.
