Being Human Resource in to a Japaneses company , i was asked to frame a travel policy for domestic & international employees .
Here with this i have attached draft , Request to all seniors kindly review & suggest for any changes .

Please share business nature of your organization and other details.
You can add more details like Travel kit requisitions, some extra reimbursement during International travelling, Extra reimbursements for more than 15 days continuously stay in site , Bags, Blazer and other travel related items after every three-five years with some lump sum amount, What if employee stays at relatives home instead of hotel than different package, Reimbursement time frame with details in how many days your company will reimburse the claim, What if without bill ?, What if client was there with employee ? What if place at over night journey and senior asking for flights only ? What if Train / Bus in not available for junior staff and asking for flight due to emergency ? For how many days travel request come to help desk to avoid higher train / flight charges ? Approval authorities matrix ? Authorization in Absence of 1st line ?
Any tie up with any hotel / resorts ? many more......Include everything in policy
Prepare FAQ for every policy so it can be like answer book.
Many companies policy booklet are questions book rather than answer book so prepare FAQ to avoid it.
You can add many more things depends on future planning of your company ( take previous ratios on count for figure and represent how much burden company will have with new policy )
