Dear All,
I am working in a medium size company. I want to issue an Internal Circular regarding 'no provision of transportation for Engineering employees'. They have to use their own car as their offered salary is high and clearly mentioned at the interview time. If anyone have the format of the internal circular, please share.

Oh sir pretty silly .. No suggestion is required as it is your internal circular as per your words like any other things like usually food is offered for concessional rates to employees...
If you are quite serious to make a rule for all employees regarding transportation of employees from home to work place....mention in the revised administration conditions applicable and added to appointment orders
Issue mails from board of directors resolution on the above matter to employees'mails ok

As you all know employers are not obliged to provide transport to employees who perform their work irrespective of day or night. It has been noticed that the engineering staff has been using company car for transportation during the working hours. The Engineering staff have to use their own vehicles for transportation as it is clearly mentioned during the interview.
Company will not be liable to pay petrol/fine/damage/loss happened to the personal vehicles.

1. It has been noticed that the engineering staff has been using company car for transportation during the working hours. This is against the norms of the company. Hitherto this practice has to be ceased immediately.
2. Irrespective of their shift timing, each employee is required to make arrangement for the transport on one's own. Employees are not just responsible to use their own vehicle but are also responsible for the eventualities arising out of this transportation.
3. At the time of recruitment, the requirement of the transportation was communicated clearly. Nevertheless, we have observed certain transgressions to this rule. Hence the requirement to issue this circular.

Additional Comments: - These are as below:
a) Mere issue of this circular is not sufficient. You need to pass on instructions to the transport as well as security department not to release the vehicle without proper authorisation. While issuing this instruction, we need to define what is proper authorisation, for this are they required to use standard form, and who are the authorised signatories to sign this form.
b) While issuing the circular, we need to define "exceptions" clearly or to whom this circular is not applicable. We cannot leave it to the interpretations of the users.
c) Lastly, in the circular, we need to define who is responsible to monitor transgression of this circular. On their observation, what they are supposed to do, whom they will report and what would be the logical conclusion of the indiscipline.

We wish to brought kind notice of All our employees around the world are herewith instructed to attend their duties punctually to the company of their respective areas by making their own individual arrangements of reaching company.From now onwards the company is no way concern with the employees transportation from home to company or vice versa...Using the company vehicles except involving company purpose is herewith prohibited. Any violations reported will be viewed seriously...
These orders come into force with immediate effect.

Dear Jay,
Before issuing this circular please consider following points also as;
1. Are you providing transport facility to employees of the other departments also? Is their level equivalent to the levels of Engineering department employees?
2. You can not distinguish on the grounds of higher salary and single out one particular department.
3. Are Engineering employees using the transport for personal work or official work? What is the case with other department employees?
4. Have you recorded the point in the interview records that Engineering employees to use their own transport with their acknowledgement ?
