Dear Murali,

So far as format of a Pay roll concerned, items as emoluments broken down into various heads should find places in your Excel sheet. I hope you have your structure already finalised with your employees, if so put them under appropriate heads. Likewise the deductions also then you get the Net payable/credited to the Bank a/cs of the concerned. I don't find difficulty in formating the Excel sheet for a pay roll. On the other hand if you are yet to finalise what are the break ups of salary, I have no answer, you have to do there. However, I hope the information available in the following links should give you some more information in the matter. Try them.

There is no problem since the employee is still continuing with you, if the employee leaves in this year you can make the payment and account for on actual basis or if the employee continues even in next year you can make provision on actuarial. Please consult your Chartered Accountant for this he will guide you.
