Hi, we have a situation where one of our employees attempted to breach IT security by trying to take the installation file of a company-owned, licensed software. Fortunately, this action was blocked as the individual was trying to send the file via email. Nevertheless, we need to issue a warning letter to this employee. Could you please provide me with a draft of the warning letter?

Investigating Employee Intentions and Drafting a Warning Letter

Regarding the draft of the warning letter, could you investigate the employee's intentions behind her actions? Did she do this inadvertently? Are there SOPs in place to prevent such security breaches? If SOPs exist, are the employees aware of them? If it was deliberate, issuing a warning letter may not be sufficient. Harsher action may be necessary, such as asking her to resign.

Lastly, I suggest that you write the draft of the letter yourself and upload it here for review by senior staff like myself.
