Hi Seniors,
Recently I was told by my boss to investigate one issue between two senior employees who have been using indecent languauge thru emails... things gets worsen when they started abusing their personal capabilities.
I have done the investigation and came up with the sollution as well... I just need a sample of investigation report so that I can produce the same to my boss.
Pls provide any sample of investigation report where two employees are involved using harsh communication with each other.

Dear Shaq The best way to go about is draft a report without mentioning names and then seek help to improve it. If required, you can send it as a private message to Moderators.

I second Mr Simhan would like to say that you need to draft a report first and this you can done with the help of your IT Team.
As you said that you been instructed by your Boss/Senior to investigate about two employee for their indecent activities, IT people can help you with their correspondence that they have exchanged. They can provide you these all correspondence and copy of email with any indecent language that they have used/exchanged; and you can draft a simple letter/report that you found this indecency act.
Warning letter/notice format you can use with this draft report

Thanks for your response, I dont want to give them warning letters as this will be a very big threat to their jobs.... they both are excellent performers and giving warning letters will surely effect their performance so just want to give them a notice and have counseling session with them and close the issue ASAP.
I would appreciate if you provide me a sample of notice format and investigation report format.

Shakeel I never said that you need to give them a warning. I just advised you to use the format .. warning /Notice format contains some element that can be use but it depends on you now..

Investigation report attached by Mr UK Mitra must suffice as it is your internal report.

Hi Shakeel,

Mr Mitra's doc. is structured and does not contain full details. You may appreciate that you are required to carry out preliminary investigation. This investigation should contain first hand report of the words being used by each of the employees in a narrative form starting with who initiated it and how. During this course automatically you will come to know of the cause/genesis of the problem which will help you to settle it.

In case this does not happen, in that case you have to issue show cause notice instead of chargesheet to each of them on the basis of findings in the prelim enquiry. The draft is placed below;

It has been brought to the notice of the management that you have been using indecent language against each other in your e-mails. An extract of the same is reproduced below.

This action on the one hand tells upon the production of the organisation, it also tentamounts to violation of the discipline of the organisation. The management is appreciative of your record of good performance, as such before taking a stern step in this regard it considers prudent to require you to explain as to why disciplinary action is not taken against in this regard. The management expects your reply within 24 hours of the receipt of this show cause notice. In case no reply is received within the stipulated period or the reply received is not satisfactory the management will take disciplinary action against you as per the relevant rules.

Please sign the duplicate copy of this communication as a token of having received the same.
