I want to write an email to my employee informing them that a client has lodged a complaint stating that the programmer is consistently not arriving on time. I would like them to email me immediately upon their arrival in the office. Please email me as soon as you log in. How should I format this? Your suggestions are appreciated.

You can write a simple email to them or issue them a letter. A simple format is as follows:

To,
Name of Employee
Employee Code:
Sub: Late Coming to the Office

Dear [Employee's Name],

This is to make you aware that we are receiving many complaints about your reporting time to the office. Due to your misconduct of Rules & Regulations, you may be suspended from your respective job role from [start date] to [end date]. Please consider this letter as a final warning. We request you to report back to the office on [date] at [time] am.

Thank you,
Yours sincerely,

Hi Saraswati,

Here is a sample format for you that you can share with any employee or all team members:

Hello Team,

It has been observed by the management that a few of you have been logging in for work beyond the prescribed reporting time for most of the last few weeks. We have noticed significant time gaps, not just minor delays of a few minutes.

You are all aware that such delayed reporting incurs a penalty as per the company's policy. Therefore, your half-day salary will be deducted for days with delays. Please note that late logins are viewed negatively during your appraisal or promotion evaluations within the company. We hope that you will adhere to the rules.

We can only tolerate 3 late logins in a month; after that, deductions will be made from your salary or marked as half a day off.

If, due to any reason, you log in late, please inform us in advance either through the common WhatsApp group "NYTP Indore Team," the Slack group "nytp-indore," or via email so that both your supervisor and HR are informed.

It is strongly recommended, for your benefit, to be punctual at work and avoid repeating late logins in the future.

We seek your cooperation for the advancement and progress of our organization!

Thanks and kind regards,
