You haven't really mentioned what your department is, but anyways...
Informally and in the case of individuals, you may verbally set expectations and then simply email the instructions to the individual's official email address and request a status update by the end of the day or whatever the deadline set may be.
Otherwise, formally and in the case of a group, you can also consider conducting small meetings or briefings at the start of the day and then follow up with emails requesting status updates after reasonable hours.
