I am working in a small IT company, now the company wants to enter into outsourcing business.
can anyone please tell me how to write a letter to introduce the company to clients? how and what to write in a letter ( draft )?
it will be a great help for me if anyone provides related information to me ...

am not sure if your company has a blog or not , as this is better way to reach your customers . you can also show this in the news update section of your site .

About blog post :

you can write a blog post over the news that your company is going to provide new services of Outsoursing .

benefits :

you can directly send link of the same

your blog will be a better platform for connecting the client for future message .

you can make video, ppt etc and attach it there .

i have prepared one letter in which i covered :
1. greetings
2. Introduction of company
3. introduction of resources
4. why to choose our company ( cost effective, time saving, experts resources,etc )
5. asking to give a chance to work with .
but i have not mentioned anything about terms and conditions or offers ( pricing ), FAQ's . i will add it.
can you please tell me how to deal in pricing ? what is the percentage to charge ? ( it will differ from company to company, based on company policies ?? )

Dear Vadirajaa,

So sorry to let you again wait for days for the response . But nice to see you have kept things nicely presented and in a nice pattern . Great to see your efforts .

I would like to mention that to make things more presentable while mentioning your services , you can also use related images , to better correlate while you present your company and introducing it and the resources .(point number 2,3 ) .

Once you have prepared , try to view your document yourself as a customer or get it reviewed by few unknown members, to know honest feedback will work for better documentation .By this approach, you will surely know the importance of nice presentation and in brief as the importance of time is for all and the competitive market is already creating bulk of spaces in emails and desks and thus proposals we present may times proceed to spam ,garbage/recycle bins , so we should better try to make it decent, professional and catchy .

Now regarding the dealing in price , i would suggest "show the work and market will follow you". so in short i will tell you people in this market believe those who can get their services present well .

Start with few , show you capability , as prices will matter for you but once your establish yourself then you can negotiate well , generally people charge around the prevailing service taxes or even less to be competitive but once business rely on them you can talk accordingly but do always think for win -win situation for long term relationships . rest most important will be your prima facia (first ) meeting /teleconversation so then your way of presentation , documentation and communication and your way to win the hearts will lead you to gain clients . Do research well in the market , your swot(strength, weakness, threat and opportunity) analysis will also help you more , may be with few time you can gain experience and i wish you all the best , go start and serve your clients well, know their requirements and add flavors to be best service provider .
