Dear All,
I have joined a new organization as HR and Admin... This is an year old company... Its a corporate firm.... As per the company, they are following US culture (Like duty hours are not fixed, entry and exit time of the job is not fixed, Lunch time is not fixed, formal wear is not necessary, and so on)...I am asked to think on HR policy since it is not there in the company as of now...
Please let me know as to what exactly needs to be there in HR policy... I have prepared HR policy in my previous company... But I have no clue as to what all things should be there in the HR policy of a copmay which is following US culture...
Please help me since this is the first thing that my company has aksed me to do...

Hi Mannat,

Though the company is following the US culture- as of Flexi work culture. But you being an HR in the same organization need to take a step and keep it in front of management.

Firstly, get the number of working hours fixed - if they are following the US culture there should be working hours as 8 hrs (Including Lunch Break) and Five days a week.

No matter the when they come & leave for full day presence minimum hours they should work 8 hrs, Then think if they work for minimum 3hrs a day mark as a half day, but if the same is only 1hrs less then 8 hrs mark it as a full day.
Prepare a register (if your company do not have access card for attendance) get them to sign their In & Out daily.
This way you would be able to manage the attendance.

Secondly, Keep a lunch time from 12.00PM till 3.00PM - its more enough break to have lunch, but in this you need to keep a note of it.

Introduce the Daily Status Report system : Its means who so ever is leaving he should be giving the brief about what they have done in day ( even if they have come to office for few hours), how much time spent on Following up with client, new task, meeting, lunch, other break etc. But you need to prepare the format for that update it internally in the organization - depending on your companies nature of work.

As its a start up company do not think on dress code now.

Introduce Leave policy:
Introduce extra activities :
indoors games, celebrating B'days, Anniversary's, employy of month , year, Reward & Recognition program
Introduce Performance Evaluation system: For Mapping the employee's performance.
Introduce to Proper performance appraisal system, Greeting the new employees with Lunch or flowers, Induction system, Think on employee welfare schemes, Training & Development programs.

Surf the internet & analyze the outside market and depending on your companies requirement apply policies.

Hi Mannat,
In Welcome Kit:
1. Appointment Letter
2. Any NDA / or other paper work to be signed from Joinee
3. Note Pad, Pen , Pencil (stationary Items)
4. Company's HR Policy Employee manual (Containing only policies that need to be know to employee)
5. Holidays list
6. To get the documents from employee that company had asked him / her to bring along with joining like degree, experience letter, relieving letter, pay slip, photo graph, ID proof, Passport etc
After Welcome KIT ( Few thing that needs to be done, if applicable)
7. If Salary is done through transfers than getting the bank account opened.
8. If you have the Insurance - getting the formalities completed
9. Opening the PF account
10. Induction - Introducing with the immediate manager, Project manager, Other employees.
11. For greeting him you can introduce taking the new joinee for lunch along with his immediate manager & One from HR.

Hi Ajith,

What I mean to write was when ever you want to collect information about some particular topic one can:
1. Consult friends or colleagues
2. Search for the information on the topic
3. Even look for what other companies (preferably of the same industry) are following ( if relating to some policies etc.)
4. when you have collected enough of information ...even have the information from 2 or 3 different companies. You need to study and analyze or compare what would be best you can implement in your organization ( means every one know about the rules, policies, procedure, culture, environment, mind set of the company they are working and accordingly what can be fruitful for the organization & best for both employee & employer).
By collecting info from different companies I do not mean (to copy the exact terms, conditions, language etc they are following) Its only for the understanding & for self knowledge what going in market ( different companies but same Industry).

I hope I was able to clear you doubt. if still not please let me know.
May be what I mean is not correct or wrong practice to follow.
