Dear Seniors
Please advise what should be done in a situation when a sucessful Sr Sales Manager (With over 15 years of experience) is not submitting his papers for verification? He has already been on the job for over three months & drawing salary. Mangement has already being kept informed about this development, but seems they are also not much bothered as long as they are getting the results. what should be the role of HR?

Just sit cool.
Per se, this may not be the right or ideal suggestion, but practically, I don't see what you can do in the situation you mentioned.
But you definitely need to take a few steps: put the current scenario in WRITING to your boss or whoever you are interacting with @ the higher level & also add a line asking for advice/direction for further action from your end to resolve the issue. To be doubly sure, send a couple of reminder for reply--and stop there. If what you mentioned is factual, you MAY NOT get any response. Retain this correspondence carefully--just in case the management wakes up later & tries to implicate you for 'lack of action'. You will be saving your skin.

Dear firend,

your question is not clear. What perpers you require and he is not submitting. If I am not wrong you may be referring to his experience certificates / testimonials etc., if that is the case, send a mail to his head of the department with a copy to your head saying that you have not received the required papers till date and if he is not submitting then you will be stopping his salary for this month.

Either they will instruct him to submit the papers or else they have to give you clerance to stop the payment. By sending this type of communication you have completed your responsibility. You also need to mention that this amounts to indiscipline.

One point I am unable to understand that until and unless the new incumbent submits his testimonials and all with in a week's time normally no appointment letter will be issued. With out submitting the acknowledged appointment letter copy the finance department people will not add his name in to the pay sheet. Handle this case specifically and henceforth better to adopt the system that until and unless the new incumbant submits all his papers don't issue the appointment letter and until and unless the acknowledged copy is submitted to finance / accounts his/her name should not be included in the pay role.

This brings lot of comfort to you in handling these type of issues.

1) 3 Months OVER
2) Why you did not collect the documents at the time of joining
3) How many mail communications have you sent to him in this regard
4) What big results he is giving
5) if the management doesn't bother, you do not collect the documents of other employees
6) Send him mail, specifying deadline date.
7) Include in your communication, please mention that the documents are required to regularise the salary
8) send him reminder mail once in 3 days with CC to his boss and your boss
9) after 2 -3 mails, mark CC to accounts
10) advise for stop payment of his salary - u will face issues, but you will get a solution out of it
