Hi,
I am working as HR executive. Our senior employees went & asked for advance amt directly to the management.
Management called me & said, you Pl indicate them to come across you & not coming directly to me for advane. The same thing has happened more than three times.
Pl guide me on the same

Hi Lavanya,
This is very normal situation. It happens everywhere.
Solution
If you are the only HR in your company, then sent the circular to all your internal customers (i.e., all departments) stating that, requestation of any loan amount should be rooted through HR. Sign the document. sent it across to all the department get the signature from all HOD and file it, also put another copy it in Notice board.

What do u mean by senior management? Which category of employees asked foir this advance? Are they seniors to you in the organisation? Siva

May be employees dont want to come to you and ask, as they might be thinking you would not do the job for them.
May be the employees dont know that you are concerned person for advances.
May be the employees thought that approaching management can do the work as you dont have any power to give advances.
May be ,,,
there are many many assumptions, you have just explained a part of the story, give full story, and then the solutions will flow..

Hi Lavanya
It happens in few organisations where Systems & Procedure are not defined properly. You can go through the simple format I have attached and start implementing such formats. Loans or advances have to be processed with specific parameters.
You draft a policy for loans & advances, get it approved from the management and Implement the same.
Also, you can tell your seniors that, " Let me check the mood of MD so that you can avoid disappointment else fill the form and give it to me. Let me take approval from at appropriate mood " like. Definitely you can win their confidence. This would enable your MD some breather, to think & decide on recommendations.

Dear Lavanya
You can issue a circular that any loan/advance duly signed by your management(CEO) and mark copy to all Depts and one copy be put on notice board.
Ensure that all advance/loan applications are routed through you
Be firm on that--
Then approaching directly by your senior personnel will be stopped.

Hi,
I think there are barriers in between you and the so called senior Employees. Just try to break it otherwise it will be a worse situation daily. This is not an one day activity.For this you need to develope confidence in the senior Employees for your action and your words. Mutual Respect and a Organization colture too contributes a lot in this aspect.So please try to bring them on to a common platform.

Dear Lavanya,
Please design a rule that any application to the management,it should be in writing then should be routed through the department head and head of hr department. This rule is to be circulated through a circular signedby the management.
