Hi, Our company is planning to introduce transportation facilities for employees. Are there any policies (or terms & conditions) for employees to use the company transportation facility, considering potential issues such as if the bus reaches the office late or if an employee is delayed due to office work, etc.?

Additionally, we currently have flexible office hours. Do we need to change these to fixed office hours?

I would appreciate your insights.

Dear Hitesh,

As far as I know, of course, you will have to make your office timings fixed, as you are using a bus as a mode of transport. If it had been a car, then you could rely on flexible working hours. Also, arrange the bus pick-up and drop-off timings after considering the average in and out times of employees; it will help for proper management.

Just thought of addressing your query with some views! Also, your question doesn't seem to be structured enough for a complete resolution in terms of why your company wants to provide pick & drop or conveyance.

Point 1 - Instead of paying conveyance in hand of Rs. 800/- per month and Annual Rs. 96000/- per annum, would it be profitable for your company to pay employees under some other heading and cost-effective to provide subsidized (fully or partially) conveyance to employees?

Point 2 - Do you have shift-based work timings? Does arriving on time and releasing employees on time save costs in terms of loss of business, revenue, SLA, or deliverable services? Or, in the case of overtime or delays, does your company need to pay overtime charges, etc.?

Point 3 - Also, just to give a heads up, please do not compare to BPOs as they have the aforementioned parameters. Also, for everyone's information, just reiterating the fact that BPOs do not provide for charity or as a sole employee benefit, but to maintain work scheduling and ensure employees reach on time, accordingly scheduling call flow and SLA. If personal conveyance at different hours were allowed, people might have various reasons for delay such as food issues, safety issues, and so forth.

Point 4 - Last but not least, in case your employees have to work long hours or beyond normal timings, for example, post 9.00 pm for female employees during month-end, that could be a temporary solution for those days/weeks or projects.
