Hi everyone! I manage both Admin and HR of my company and hence a question not directly related to HR.
What system do you follow for employees to update their unplanned leaves to the transport team? Lot of times, there is a complete no show by all employees in a cab and we end up paying for the trip. Any system or policies around this would be of great help.

Uninformed leave affects not only your transport arrangements but it will spoil your entire operations. In some cases employees inform their department of their non availability on a particular day but will not keep the administrative officer informed. If this is the situation send a circular that any leave taken by employees who avail transportation facilities of the company should be marked to administrative officer/ transport officer so that you can plan your trip or cab arrangements accordingly.

Hi Swetha,
Since, you are handling both HR & Admin, you better issue circular to all the Department Heads or Managers, to send the list of employees on leave each day, so that you can plan vehicles for transportation and this has to be made mandatory explaining about the difficulties and cost involved and as such there is no specific transport policy. The only thing you can do is to please send mails to all the departments or sectors to provide the details.

Dear Shwetha,

When an employee who avails of the company transport facility, takes sudden leave then he/she is expected to inform the transport department. Because of the non-communication by the employee concerned, if the company incurs losses because of the empty trip, then the cost of the trip must be recovered from the employee.

The exigencies due to which an employee avails leave is one thing and passing on information to the department concerned is another. A person with common sense should understand that an unnecessary visit to the home is a waste of time and money. But if a few dolts do not understand this then they need to pay a price for their doltishness.

The previous two members have suggested issuing a circular. However, going further, include a warning to the employees that if they are availing of sudden leave they must inform _____ hours/minutes before the expected time of arrival of the cab to their doorstep. If they fail to do so, then the debit note will be raised against such employees to recover unit cost per trip.

A company may provide the facilities to the employees. But the facilities have to be availed of within a framework. The administration of the company must show a spine in dealing with those who breach the framework. If the action is not taken, then it could be tantamount to pampering the employees and the cost of pampering is always hefty!
