Hi Seniors, I joined an organization 3 months ago and, through Form 11, I requested them to link my existing UAN. Unfortunately, when I log in, I can't see my present employment; it only shows my previous employment. I spoke with the concerned HR person, and she told me that it would take some time to update.

Today, in the unified employee portal, I clicked on "Activate UAN" and entered my PF account number mentioned in my pay slip, along with my name, DOB, and mobile number. It showed that the UAN was already available and sent an OTP to my mobile number. When I entered the OTP, it showed UAN activated. I also received an SMS containing a "UAN activation Password," but I don't know where to use it.

I don't understand why this happened. If my present employer had linked the account number (in the older system, as I joined in October) with the existing UAN, why did this activation occur? Does this mean they activated a different UAN even after submitting Form 11 and requesting them to link it?

What I know is that the employer links it, and the employee has nothing to do with it. So even if I tried to activate UAN using my present EPF account number, it should not have shown "UAN is available, please activate it," and then, after entering the OTP, it showed activated.

What's going on? Is my present employer linked with my original UAN, or have they generated a new one? Kindly advise.

Introduction of New LIN System for Employee Contributions

During the period from August to November, new employees have been issued fresh UANs. Linking was disabled from September 2016. The present system will also be discontinued, and a new LIN system will be introduced through the Shram Suvidha portal. Under a single ID, EPF/ESI, and other labor welfare contributions will be paid.

Transferring your account or linking your old UAN is not a big issue. Just ensure that the one you choose is fully KYC compliant. If you wish to surrender the new UAN and link it to the old UAN, email your request with details to the nominated officer of your jurisdiction. The list can be found at the following link: http://www.epfindia.com/site_docs/PD...dhaCentres.pdf

In my last company, I worked for six and a half years, and they generated the UAN that was fully KYC compliant with PAN, Aadhar, and bank account. Are you saying that in this new company I have been assigned a new UAN? In that case, I will need to request that UAN number because my last three months' pay slips only mention the EPF member account number, not the UAN.

Once I have this new UAN, can I transfer my balance from the old UAN to the new one? I hope this transfer will not affect my pension period and will not create any gaps in my career concerning EPF since I have not had any breaks.

Thank you.

Keeping Your Old UAN

If you want to keep your old UAN, which is KYC compliant (Aadhaar, bank, and PAN are digitally verified, and UAN is activated), then ask the employer to seed the old UAN with your joining date. From the next contribution, use the old UAN for payment. If it is not KYC compliant, then the system will ask to seed all KYC data; otherwise, it will refuse the same.

After the successful seeding of your old UAN and one ECR payment from the present employer, you can transfer the money deposited in the alternate UAN by filing the claim here One Employee One PF.

In all situations, the employee is at no loss. The system is simply trying to rectify the errors linked with the member's database.

Vice versa, you can transfer your old balance to a new account also. In all cases, you have to ensure that the data is correct, matching with Aadhaar, PAN, and has no date or spelling errors. The same site will facilitate the transfer from both sides. Just log in with the UAN you want to keep active.

Once the amount gets transferred (usually taking 30 to 60 days), the linked UAN will be abolished, and the employee will be informed over the registered mobile.

Thank you, sir. I don't know. I have to ask her whether, this month, she has already linked the establishment code with my old UAN or not and then submitted the ECR or not. Because what you have stated is that if I want to keep the old UAN, I have to ask her to seed my date of joining with that old UAN, and then the company has to submit one ECR. Maybe she has done it this month itself, and if that happens, then in any case, I have to transfer the amount from the new UAN to the old UAN. In that case, I will have the privilege to choose which one to keep and which one to dissolve. If before filing the ECR this month, she has already seeded my DOJ with my old UAN, then I'll have only one option left. Anyways, thank you once again, sir.

With the same DOJ and DOB, you can have two UANs in the same establishment for this period; however, you have to choose which one you want to keep and close the other one by taking a transfer. As I said earlier, this system will also come to an end soon, and EPF/ESIC and other labor returns would get a unique identity.

Thank you for your advice. I joined three months ago, but only yesterday did I discover that I have been assigned another UAN, thanks to our conversation. I sent an email this morning to the relevant person and successfully activated the second UAN. However, upon logging in, I couldn't access the passbook, likely due to a waiting period of four days post-activation. The second UAN is also KYC compliant, as indicated on the UAN card, though I am unaware of the documents used for its compliance. Is there a way for me to find out?

Currently, both my UANs are KYC compliant. What steps should I take next? You previously mentioned that I can keep either of the two, but I would appreciate your advice on which one to retain and when I can initiate a transfer. Can funds be transferred from the old UAN to the new one, or vice versa, immediately? Or would it be advisable to wait for a few days? I seek your guidance on this matter.

Wait 10 days, and look into KYC details. KYC details are visible in the profile KYC update. If both are fully KYC compliant, then you have the choice to keep one and close the second one by transfer. However, later this year, all such accounts will get clubbed and merged to LIN based on ID. There is no fear of any loss of money or pension.

I will try to transfer my money from UAN 2 to UAN 1. Before that, last Friday, I activated my UAN 2 and logged in successfully. On the following Wednesday (after 4 days), I downloaded the passbook of my new company.

Now the problem is I have opened the One Employee One PF Account Portal

I'm using the same mobile number used in UAN 2, the same UAN number (UAN 2), and the same Member Account number (which is linked with UAN 2). I have verified and re-verified it several times. I'm basically trying to authenticate it as my present employment and tried to link UAN 1 just in case I am able to transfer UAN 1 to UAN 2.

However, every time I click on "Generate OTP," it shows "invalid credentials." The mobile number used in UAN 2, the UAN number, and the member account number are all correct. Then why is it showing "invalid credentials"?

Can you please tell me why this is happening?

These are the same details that are showing post-login into the unified member portal. Then why is it showing invalid credentials?

For your reference, I'm attaching the screenshot of the same.

Kindly help me out and guide me on what to do. Isn't this account number linked with the UAN anymore?

Please help.

Regards

Understanding the New UAN System

The new UAN is like a newborn baby, and the system is still accommodating it. If your old UAN is KYC compliant, then by virtue of Aadhaar matching, the department will prompt you to merge both. If you click on the UAN activation link for "one employee one EPF," it may direct you to the old, invalid link, indicating that the "one employee one EPF" portal is not yet compliant with the new version of EPF.

Wait for some time; developments are progressing quickly, but compliance from both the employer and employee sides is very poor. As a result, they are facing troubles, and a lot of their time is being wasted on rectifying old data.

Issue with One Employee One EPF Account Portal

I'm able to log in to my UAN portal without any errors, and I have even downloaded my passbook. The problem arises with the One Employee One EPF account portal, where it shows "Invalid Credentials" despite entering the same details. The mobile number, UAN, and member account number are correctly entered, yet this error persists.

Please clarify one thing: my earlier UAN was activated using the same mobile number, and this UAN is also activated with the same number. Could this be causing the issue?

I have waited for a week, hoping that things might resolve themselves in a few weeks.

Once again, I ask the employee to check his mobile number registered under the new UAN. An error is present, as one mobile cannot be used for two UAN numbers. Most of the newly generated UANs are opening with a password generated, but the mobile number is not present. Please edit that section and insert a valid mobile number. It will start working.

Issue with UAN and Employer Compliance

I have changed my registered mobile number in the new UAN, but the problem still persists. Meanwhile, I have requested my current employer to use the old UAN and informed them that I'll transfer my money from the new to the old one. However, they denied this request, stating there are no such rulings. They mentioned they will continue to deposit my PF into the new UAN and asked me to transfer the balance from the old one to the new one. But I want to keep my old UAN and dissolve the new one.

Can I force my employer? He stated that there are no rules specifying that it will depend upon the employee which one to keep. Please tell me, is there anything that I can cite to compel them to use the old one and dissolve the new one? Is there any notification from EPFO or any relevant rule? Please suggest. Looking forward to your cooperation.

Understanding UAN Activation and Transfer Issues

If you have changed your mobile number, it will soon be updated on the employer portal. Allow the system time to update the database. If it were easy to make a transfer with just a change and a click, many malpractices and frauds could occur unless the department verifies the documents linked with the new UAN. They will simply say "NO" to any acceptance without verification.

Aadhaar Seeding and Transfer Process

If Aadhaar is seeded in both accounts, the department will send a message to the concerned employee to execute the transfer. From my past experience and observation, Aadhaar is often missing in one of the accounts or not yet verified by the employer.

Aadhar Not Updated in Accounts

Aadhar is still not updated in any of these accounts, which I believe is why it's not showing in the KYC section on my member portal.

Persuading Employer to Use Old UAN

Could you please advise on how I can persuade my employer to continue with the old UAN instead of the new one? Is there any ruling that allows for this?

For your reference, I'm attaching all three attachments. For security reasons, I have erased my name from the screenshots before uploading.

Issue with EPF Account Credentials

However, the "One Employee, One EPF Account" still shows "Invalid Credentials" even after changing the mobile number. I think I should wait for a few more days.

If online working is not suitable for you, then simply fill a manual Form 13, get it attested from your present employer, and submit it to the present EPF office; they will handle it.

KYC non-compliant accounts are facing this situation mostly, so they can submit physical Form 13 for transfer. Online submission is just a soft form of transfer claim only.
