As I am trying to understand this new organization, which is a book publication house, I am having trouble grasping the hierarchy within this industry. Can anyone help me create an organization chart for this publication industry?

Please answer my questions to start with. What qualifications do you have and how much work experience do you have and as what?

If I am right, you have posted another thread in which you state the company is pan-Indian and has 109 employees and is a proprietary one. If so, you need to list all the personnel at various sites and their designations and prepare a hierarchical table indicating who reports to whom and for what.

Dear Simhan,

I am MBA qualified in HR and have a year and a half of experience. Yes, you are right, I posted that thread as well.

Regarding the hierarchical table, there is no hierarchical table here because everyone reports directly to the managing director, whether they are a sales executive or a goods packer. Each and every person reports to the MD.

I thought so; I did not want to assume things; hence, I raised questions.

An organization tree will not do much given the situation. Just consider how you would feel if you were reporting to the MD and suddenly you were asked to report to someone else in the organization. The MD has to inform the staff that for the company to progress, he/she has to make changes and get a new structure, etc. Unless the MD is prepared to sack a few people who will not fit into the new structure, you will be wasting your time in bringing about changes. I feel that you do not have enough experience to bring about changes and you should take the help of a professional.

My friend, this is a tough situation, and the MD has to support you all the way. To start, you have to come up with a tree-structured organization chart showing the positions only and which position reports to which position. Remember not to fit any names into the boxes yet. Next, do a job analysis for each position and then conduct a manpower skills audit for all your staff. Match the positions with a candidate with the rightful skills and experience, and place names into the positions.

Remember, this is quite an expensive project, and you must have a budget to run with it, and to deal with excess staff that you have to let go on mutual separation agreements if they do not fit into the new structure. It does not have to be a one-off stance; you have to take it step by step, maybe department by department, reviewing and studying the results so that you can adjust undesirable outcomes in the next steps.

This process is called Zero-based restructuring. Try to do some research online to find out more about it. We have been working on this with our company since 2009, and we are not yet finished. We are still dealing with voluntary retrenchment costs and with staff costs from die-hard staff who do not want to make a mutual separation settlement.

From the information given by Krishan, they do not have any structure as everyone reports to the MD. Thus, the MD's span of control is 100+ scattered over a wide region.

You are right, it's a long-term process, and if the MD is not committed to change, there is no hope.
