Dear Seniors,
I would like to hear your suggestions on the below-mentioned experience that I had. I have a year of experience as an HR executive. Now, I have been appointed as an HR manager. It has been a couple of months since I started working in this new role. I have introduced numerous initiatives that have been appreciated by my boss. However, at times, I find it hard to manage all the job responsibilities. There are moments when I feel demotivated by my boss, which really brings me down.
They have high expectations of me, and I would appreciate your guidance on how to handle employee grievances, performance appraisals, and more importantly, how to prevent employee terminations.
I am awaiting your early reply.
Thanks in advance.

Grievance Handling -
1. Skip-level meetings
2. Complaint/Suggestion boxes in the work areas (Red - To be addressed without delay, Orange - To be addressed in a short period, Green - Compliments)
3. Helpline number
4. Complaint register - so that grievances can be diverted to the respective departments
5. Create awareness and freedom so that employees can reach out to you for any work-related issues.
Performance Appraisal - You should first decide on the tool that is appropriate for your organization. Thanks!

Hi Raju,
I was the Head of HR and Senior DGM when I retired from one of L&T's business units. For almost ten years, I handled the whole operation single-handedly. In case you don't get proper assistance or support from the management side to help you tackle the whole lot of issues (like in my case, which was the situation for ten long years), it's better to organize your tasks. Organizing your responsibilities should be in a sequence such as time-bound assignments, deadline-oriented tasks, and work based on frequency. Some responsibilities may recur daily, some weekly, and some monthly. If you can properly schedule these tasks in a large annual planner, you can manage them smoothly. Trust me, it will work just fine. Also, when you do such work daily, allocate some extra time in your schedule to handle unexpected emergencies.
For example, performance appraisals are annual, and depending on the annual cycle, you can take action just one month before the cycle starts. Similarly, in your daily schedule, allocate time for issuing appointment letters and other staff admin-related activities.
Over time, you will find that you still have time left for pursuing other personal work and commitments.
All the best

Thanks, friends, for your feedback.
A lot more one can do if proper scheduling or prioritizing of your activities is carried out. Everybody has only 24 hours on their watch, but much depends on how you utilize it effectively. If you can make four quadrants and designate each quadrant as Important, Urgent, Not Important, and Not Urgent. If you keep sorting your tasks, assignments, and responsibilities over a period of time, you can master the art of working efficiently and effectively.
Best wishes

Dear Sundaram Sir,
Greetings to you. I am a fresher, presently working in a BPO (non-voice) company as an Asst. HR manager for 4 months. It is a start-up company, and all HR activities are unorganized. I am working like a one-man army, where I am the only person in the HR department. There is nobody here to guide me, and I am feeling like I am not getting any exposure to learn about payslips, PF, ESI, etc., as we are paying the salary to employees in cash, which does not include PF & ESI.
Here, I am handling Recruitment, Payroll, attendance, and general office works. I am worried that in the future when I go to other companies, they will question me about many HR activities that I don't know. Please let me know the best way to learn things using the internet. Please do the needful. I am waiting.

Dear Sundaram sir,
Thank you very much for the useful guidance.
@krupa & Raju - what is the size of the organization? Because as per the rules, a company that has a minimum of 20 employees has to register for EPF & ESIC and contribute to both compliances. If your company fulfills this requirement, you should suggest to your employer to go for it. If you are violating these statutory compliances, in that case, the company has to pay for it.

Hi everybody!
Thanks for your posting concerning your knowledge related to HR activities. A while ago, I posted about a course I am conducting, namely the Advanced Diploma in HR Management (ADHRM).
I am reiterating the details here. This course is designed for individuals in HR or MSW roles who lack knowledge or information about HR activities. The course consists of six modules and is conducted online. Each week, one module will be sent to your email. Upon studying the module, you will need to answer the questions provided at the end.
If your responses meet the criteria, the next module will be emailed to you. After completing all six modules, a certificate will be issued to acknowledge your successful completion of the course. Due to the demand for a more flexible schedule, I have initiated this online option for those unable to commit to a five-day, in-person course. The same program can be condensed into five full working days, from morning to evening, at any location, provided there is a minimum of 15 participants in that city.
I have attached the course content for the online course. If you are interested, please send me an email.
Best wishes

Hi Raju,
I have designed this module keeping in mind the hard work one puts in during daytime in the office. All you can do is to spend an hour in the night or just on a Saturday and Sunday, a couple of hours each. I will be posting each module only after completing the earlier module, as I do not want to rush you through the learning process. You have to spare time to read and understand the topics. The question sheet will be mailed to you once you are through with the module. Upon receiving your answer sheet, I will mail you the next module.
There are no fixed hours for you. You learn as you work. That is all. My course is suitable also for those who did their MSW and landed in HR departments. In the early 1970s, I did my graduation, my PG in HRM all through distance learning only. I did my Diploma in Russian language through evening classes while I was working in Delhi. Anything is possible if there is a will and desire to learn new things.
Best wishes

Hi everybody,
I refer to various queries here.
The course I have designed, i.e., ADHRM, is basically an awareness programme. I have checked with MBA-HR students. In college curriculum, only various theories relating to HR are discussed, and knowledge about various acts, etc. My course is designed exclusively for the practical part of HR function. What really goes on in an HR department in any organization. This will enable you to have knowledge and information pertaining to HR activities.
As regards SAP-HR, it is an additional qualification and requires a separate course, which is beyond my purview. In most organizations, whole HR activities are online, and SAP-HR is one such platform you can operate on. There are institutions that conduct these courses, and the fees are quite hefty. However, in the organization where I worked, we were given a two-day training on how to operate the various modules, and we were through with it. Such portals are menu-driven, and if you understand it, one can learn it very fast. Really speaking, one does not require spending huge money on a qualification.
I am also an HR consultant who can help organizations in creating or modifying org structure, designation structure, salary structure, JD formulation, etc.
Those of you whose organization needs such services, I can always help the organization for a small fee towards my services.
Best wishes

- There should be face-to-face interaction between the members of the organization.
- They should have equal rights to form healthy relationships.
- There should be compensation on various occasions.
- Have a complaint box or a suggestion box in which anyone can leave a message regarding any person or problem without highlighting names.
- There should be an alumni club created where individuals who have left the organization can still participate as members.

Hi Sitansujena,
If you Google "Employee Provident Fund Organisation," you will find a drop-down menu. There are sections for employers, downloadable forms, and everything you need. Similarly, there is a website available for ESI as well. Go through each section carefully to understand the guidelines. Alternatively, there are local consultants available who can help you complete the formalities and act as your consultant on a retainer basis. They will take care of ESI, PF, etc., so you don't have to worry about these routine formalities and can focus your attention on other important HR activities.
Best wishes.

Hi Sridevi,
I am not working anymore! I retired in April 2009 from L&T as Head of HR, and I continued with L&T as an HR Consultant on a contract basis. I learned everything possible through reading books, and whenever I got an opportunity, I grabbed it. My strong suit all along has been my English. I have been reading English books since my childhood, thanks to our father. Due to my reading habits, I could learn and grasp things much faster. I am also accustomed to speed-reading. I can finish a 400-page novel in just 3 days! Even now, I have not stopped reading; whether I am at home, on a train, or in a flight, I never feel bored because of books.
It goes without saying that I have trained people who worked with me on office administration, HR, etc. I always encourage people to try things on their own and come to me only when they make mistakes or have serious doubts. I make them search for information so that they will remember it well, rather than being spoon-fed!
Best wishes
