Dear Seniors, My company's HO is in Mumbai and I am working in a branch office(Punjab). We belong to the service industry. Very soon labor officer going to visit our company. Please suggest what kind of statutory registers we have to maintain? Also what kind of abstract of Acts we need to display on the notice board? We have an online attendance system here. 90% of staffs are retainers and the rest are employees. ESIC sub-code is not taken. ESIC & PF contribution & returns work handled by HO.

Dear Mandeep_s,

The Govt. Labour Officer who is planning to visit you can inspect your records under following enactments:

(i) Payment of wages Act;

(ii) Minimum wages Act;

(iii) Maharashtra Minimum HRA Act;

(iv) Equal Remuneration Act; &

(v) Payment of Bonus Act.

You need to show him following registers and records:

(i) Muster Roll;

(ii) Wage Register;

(iii) HRA Registers A & I;

(iv) Leave Book and Leave Card;

(v) Bonus Register A, B & C;

(vi) Overtime Register;

(vii) Damage Register;

(viii) Fine Register;

(ix) Advance Register;

(x) Equal Remuneration Register D; etc.

You need to display on your notice board following documents:

(i) S&E licence;

(ii) Notice of hours of work, date of payment, date of unpaid payment, rate of salary, name / address of GLO & In-charge of your establishment etc. ;

(iii) Abstract of various applicable enactments.

You need to produce before him a visit book to write his remark.

If you have not obtained the permission to maintain the attendance data electronically, I suggest you should maintain the attendance register manually for Jan and Feb to show the officer. It should not take much time.

It seems to me there is a grey area. It should be other way round.

It is not in the jurisdiction of Govt. Labour Officer.

Every HR & P&A excutive must maintained above mentioned register .If your HO is maintaining. PF record. then also you should keep PF challans in file as records.
