Hi all,
I am new to this group, i am working as an HR with a BPO / KPO industery... we are planning to implement an online system for keeping the employees personal files through soft copies in a scanned manner. I request all yours help to understand which all documents are mandatory to be kept in a firm under shops and establishment act for the employee file as hard copy and also is it legally valid to keep all files only in a scanned format in our data base.

Hi Santosh,
Thanks for the reply, we have a software team working for our internal softwares and this is taken care by that team. I just watn to know wat all are the mandatory documents which is leagally a company's obligation to keep in employee personal folder(Hard Copies).

just one doubt, as i understand the both photos to be submited to PF and ESI department for their process rit. Regards Jay

Hi,
Well the photos should in in their as well as in your records.
If you are maintaining personnnel files in your system through any software tehn you can scan those. And for esi, you will have to send employee to esi branch office. They have arrangement for taking photographs of your employees by scanning those in their websites.
