My name is Shimit. I am a student of MBA-HR, and this is my last year, so I have started doing independent projects to gain and develop my practical knowledge. My first project was on industrial relations, and now I have started with competency mapping. As a member of CiteHR, please help me out. I want a clean and healthy discussion on this topic. Please don't tell me to search on Google and CiteHR; I want live discussions. Instead of just writing "please don't tell me to search on Google and CiteHR," why don't you write what you understand by the term competency mapping (which I assume you already know from searching previous posts) and then ask for clarifications or how people have applied it, its benefits, and so on?

As I mentioned in my previous posts, I am good at asking questions, not answering ones that are too broad and unfocused. I just searched for posts on that and found quite a few threads with attachments, explanations, discussions, etc.

Frankly speaking, I have just searched on the internet because I have just started this project and have not visited any HR manager in any company. So, back to the topic... what I understood from competency mapping is that it is a process of finding out the actual competencies of an employee, where they are currently working, and if they are working below their competencies, then how to develop them. This process is called competency mapping.

That is all I have understood, but in reality, this is all theoretical. I want to understand the practicality of competency mapping. I am looking forward to more questions from your side.

On the net, we can search for everything, but that will all be theoretical. By searching on the net, you cannot succeed. Or we can say by searching on the net, a child cannot learn how to start eating food by himself. That is the case.

Dear Shimit,

To start with, one has to envision the end usage of competency, such as using competency in Recruitment, Performance Management Systems (PMS), Training, etc.

Regarding practical exposure, you must be familiar with the competency requirements for each position, role, job description, etc. Only then will you be able to map out the competencies required.

Once you begin the mapping process, you need to establish a proficiency scale for each competency. Subsequently, you can identify any gaps and prepare an action plan to address them.

Ok sir, I have grasped the basic concept of COMPETENCY MAPPING, but still, there is one query. The query is, what is the best time to conduct the process of competency mapping? For example, if an employee lacks the required competencies for a project, then competency mapping will be done. Conversely, if the employee already possesses the necessary competencies to complete a project, then it is performed. What methodologies are involved in competency mapping? I would like to know that as well.

The mere fact that you are pursuing a Master's level degree shows that you are capable of reading, digesting, and understanding. I read this entire discussion and your dilemma on understanding what competency mapping is. I am currently working on a project on the Identification of Training Needs as part of my MBA in HR. When I started out, I tried different methods to understand what to do. I read up on various sites, went through questionnaires, but none of it made practical sense as it was all theoretical.

What I did understand is that competency mapping is a process that should ideally begin with a job description that outlines the Knowledge, Skills, and Abilities (KSAs), which essentially are competencies. So, KSA = Competencies (this is my understanding, considering HR jargon).

It's not easy to determine technical competencies if you are not from that background. It either requires a lot of effort from your side or significant support and patience from managers – usually the former. Fortunately, the managers in my company are very helpful.

Once you have the list of competencies for each position in each department in your organization, you proceed to map it. What do you understand by "mapping"? I see it as a schoolchild locating a city on the map of India – that's mapping. Now, you need to map the KSAs of the employee, i.e., essentially rating them on a scale. You can have two ratings: proficiency and the importance of the KSA to the job. Multiplying these ratings gives you a number indicating the employee's competency level.

I used the gap between the standard and the current to identify where training is needed. There are other uses of this method as well. All the reading on various sites helped me understand this. I believe it's accurate. Senior members reading this post may possibly agree with it or help me correct it.

Is that your first MBA project? In none of your posts have you spelled the word 'Competency' correctly. I really wonder that being an HR student, you can't make the right searches and guide your way through the textbooks. If you really want a healthy discussion on the topic (or any topic), you have to be crisp and clear in putting forward your query. Only then will the seniors be able to guide you!

I suggest you read the chapter and have (at least) the basic knowledge of the concept. Books are the best source of knowledge.

Hi Shimit,

Good morning. I don't want to sound rude. First of all, you need to do a spell check in your note. It is extremely irritating to see the word "Competency" spelled incorrectly.

Secondly, there are hoards of write-ups available on the search engine. Look up, read, understand, and get started with some groundwork. One cannot be spoon-fed. Moreover, you have not stated the structure of your organization, what your management intends to derive from this mapping, etc. Competency mapping is derived from business goals.

Make a questionnaire and get into discussions with your HOD to arrive at what you want to finally submit. Good luck.

I'm happy you have taken up this topic as your project dissertation. Good!

But after seeing this entire particular thread right from the start, I'm surprised to see that you are not focused on why you have chosen this topic in the first place without understanding the meaning and theory part of it. What is your objective in taking this topic? Have you thought about that?

Secondly, pursuing a career in MBA, you should not be making any spelling mistakes throughout your career. The spelling mistake of the word "Competency" that you made reflects a lot in your project, the company you are working on the project for, as well as the judges in your viva-voce!

Thirdly, whenever you want to gain knowledge or learn something, start by researching it yourself. If you need clarification, jot down your points and post them for discussion with the community on Citehr.com or any other platform you prefer where your queries can be addressed. However, ensure that you have actually understood the topic and the queries you have raised.

Lastly, regarding your topic, make it a practice to take a small notepad and write down the meanings of:

Dear Shimit,

First of all, understand all the terminologies of HR by reading books and also use Google or Cite HR for more clarifications. For practical exposure, you have to meet HR persons (managers/executives, etc.) in person because what you are doing is a project that has to be worthy enough when you submit it in your college and will help you in future placements. Get an appointment from an HR person, go meet them or at least try to talk to them on the phone so you will get some information on your topic. Kindly correct the spelling of your competency mapping. It's COMPETENCY MAPPING. I think you should be keen enough in knowing each and every word and meaning of HR. Improve your interest level, which should help you in many ways.

I think you have most of the details regarding competency mapping. Here, I would like to give you some inputs.

Since you have mentioned your project is on IR and most of my activities are in relation to these aspects, I hope these points may be useful for you.

Specially in industries, there are generally two categories: managerial staff and workmen, or you can call them Bargainable employees. The requirements for both vary.

For managerial staff, in order to map, you should have the job profile for each position. For example, if you are selecting the Purchasing department, define job profiles for Senior Purchasing Officer, Call-off Engineer, Vendor Developer, etc. You should have criteria for rating levels from 0 to 3, 4, or 5, whichever is convenient for you. 0 should be the least, and the highest will be the top ranking. Another important factor is that generally competency mapping is done considering three areas: personality, knowledge, and skills.

All these three areas should be seen in the mapping. However, when considering workmen mapping, it's a bit difficult to cover all these areas because in most companies, workmen are selected based on their skills and experience rather than education. For example, for a Fitter/Grinder job, employees may have just SSC, ITI, or even lower qualifications. Hence, especially in such cases, skill mapping is done, and gaps are identified.

This book provides all the information you need to understand for a project. This area is in high demand nowadays, so it's beneficial to have a proper understanding from the beginning.
