Hi,

We are in the service industry with 2000 staff spread all over India across 100 branches. We are facing a time attendance system problem. For large branches, we are using swipe cards, but for small branches with 4-5 staff, it is very expensive. Currently, we are using an attendance muster, but we are certain that staff are fabricating the muster and sending us the weekly/monthly copy. We are planning to purchase efficient software so that we can control time attendance and leave.

Your suggestions are highly appreciated, and it would be a great help.

Hi Joseph,

You have to trust people when you believe in effective human relations. If you can't trust them, you cannot achieve the maximum potential from them. As an HR professional, you must be aware of these principles.

A simple attendance system can be implemented by assigning one of the 4 or 5 employees the responsibility to ensure proper attendance. Make it clear to all others that any misappropriation or fabrication of attendance will be taken seriously. Issue a circular, duly signed by the Head of HR, Managing Director, or CEO, emphasizing this point. If attendance fabrication persists, take appropriate action against the employee responsible for maintaining attendance and the employee who fabricated it. Observe their reactions to this approach. This represents the disciplinary side of the strategy.

On the incentive side, convene a meeting with all employees to clearly communicate expectations regarding attendance. Issue individual notes highlighting the importance of a proper attendance system and request their cooperation.

You can choose between these approaches based on your requirements, as you are in the best position to judge their suitability.
