Dear Sukumar,

In my opinion, you have to maintain the record for at least 5 years. I don't know if there are any hard and fast rules about this. Also, it depends on the size of the organization.

Dear Kumar,

Firstly, I would like to inform you about a new practice being implemented in organizations. I recently joined a new organization where we have a biometric thumb reader. This thumb reader is directly connected to the PC at the reception. With the help of this device, there is no need to register attendance manually as the PC will continuously save the data.

If the number of employees is between 50-100, then it is feasible to maintain this system. However, if the number of employees exceeds 100, then biometric machines are the best option.

Hi Sukumar,

It is important to maintain an attendance register as well as a leave register on a regular basis. An inspector can come from the Labour Department after sending a notice for inspection purposes. The registers should be separate for regular and contract employees.

If the company is using any software for attendance records, a special permission is required from the Labour Department for the same.

Neha
