Dear Moderators, I would like to inform you that we provided an increment to our staff in the month of January. However, the management later decided to give a general increment to all employees. This adjustment may be considered a revision in the salary structure. Could you please suggest the appropriate format we should use to provide employees with documentary proof of the salary revision? If we initially issued increment letters, what should the format be now? Thank you.

Difference Between Increments and Salary Structure Revisions

Granting increments and revising salary structures are two different concepts and practices and should not be used interchangeably. Therefore, it is important to clearly spell out what has been done. Afterward, convey the good news to everyone with a firm message emphasizing better performance and credible results in the days to come.

Providing a general increment to employees is a good initiative to build a rapport between the employee and employer. You can issue a printed letterhead that includes information about the increment. Ensure to get an acknowledgment signature on a copy of the letterhead.

An increment/revision in salary is always good news to employees and definitely a morale booster. However, its communication is also mission-critical. Management might have considered various factors and arrived at some amount. Being an HR professional, you may have some points to showcase while communicating. So, make it ready after a detailed discussion with management, get the buy-in from department heads, and then plan for the announcement. Also, issue verbal communication - email or letters (based on the nature of the industry and the kind of access to information).

I hope this helps!
