Hi, we have our Head Office in Mumbai and in Delhi. If someone joins, their data is sent to the Head Office via scan, and then an ecode is created. This process usually takes 3 days. How can we improve the turnaround time? Without an ecode, no IT assets, no access, no visiting cards, and email can be provided. Therefore, it takes one week just to introduce a new employee to their colleagues. Is there any way to improve this situation?

In this digital world, allotting an employee code for a new entrant taking 3 days to a week is surprising. You mentioned that the employee's joining report is scanned and transmitted to the Head Office, so what causes the delay of 3-7 days for allotting the eCode? Possibly, there is red tape to be blamed. Here are a few suggestions:
1) You can decentralize the procedure of allotting the code, email ID, and business card printing.
2) You can streamline the entire procedure via a video-online-conference call.
3) Reorganize the procedure so that an entrant first reports to the Head Office and then is directed to join the allotted center with all the necessary kit.
4) As the magnetic swipe card could carry, implant, or load with all the details of an employee, first prepare the magnetic card, download the details, and activate everything in one go. ID and business cards can be printed in-house; maybe the quantity could be restricted to limited numbers.
