Dear seniors, I have some doubts regarding EPF e-Sewa. I've registered my establishment as mentioned on the website. I've uploaded the monthly contributions as well, but some errors occurred in the uploaded contributions, and I am unable to read it. When I open the log error, it displays that the file is not 100% PDF. Now, what should I do? After that, what do I have to do? If anybody has a demo/instruction manual for uploading contributions, please provide and help me.

Help me in this regard.

Go to epfindia.gov.in where you can find the E-Return Tool for Employers (Ver 4.0 - 04/04/2012 - Changes Made List added). Click here and you'll find the DEMO (E-Return Tool) + Instructions on how to use the demo. Please follow the demo instructions or refer to the user manual for more details and proceed.

Understanding NCP and E Return 4.0

NCP stands for Non Contribution Period. In the E Return 4.0 version, you can enter your data and create an ECR file to be uploaded in the e-Sewa portal. If there is any confusion, please visit the EPFO site or contact me either on this platform or via my email: [Email Removed For Privacy Reasons].

I guess you have uploaded excel file with your data. you should upload text file, convert your excel file to csv then upload it.

Sir, there is no need to use a tool; you can directly upload the text file. Please create an Excel file as per the given structure (ECR file structure). There are 25 fields; please keep the width of each field as mentioned in the ECR file. Enter the data, save it as a CSV file. Open the CSV file in Notepad or EditPlus, replace ',' with '#~#' and save the file as a text file, then upload this file. In the names of the members, you should not use special characters like ''' etc. It is very simple.

If you are from Maharashtra, I want to tell you one thing: I visited the PF office yesterday regarding filling online PF contributions. However, they informed me that online submission has not started yet. Therefore, for this month, we will have to file all contributions and returns manually. If you are from another state, please visit your local PF office, and they will guide you accordingly.

In Karnataka, we have to file online. The only payment we have to submit is to the bank. If you have an account with SBI, you can even make payments online.

The error report is having some issues. It is not opening. However, if you enter the details correctly, there should not be any errors.

Attached is an Excel file that can be used to enter the data. You need to save this file as a CSV file (without including the heading line). Open the CSV file in Notepad and replace all the "," with "#~#". Copy the contents of this file into a new Notepad file and save that new file (which will be in 'txt' format). Now upload this file in the E-Sewa tool.

Dear Seniors, I am trying to generate an online challan through the E-Sewa Portal. Please send me the Excel file format (some filled details as a sample) to upload on the website. I went to EPFO, and they are just saying to do it as in the document. I think it's not easy without any demo. Please let me know if I can send more details on this.

Thank you for the information about the EPFO. I want to confirm whether the online challan can be submitted in hard copy in case of errors or anything else. In my organization, there are around 50 international workers, and their contributions are different from the other workers'. Where and when should we submit the IW1 report? How can we submit the document for the same?

Complications with the E-Sewa EPF Portal

The new E-Sewa EPF Portal is so complicated. Is it compulsory to prepare the PF Challan from this website? Does SBI accept manually prepared PF Combined Challan?

We have a construction company with over 2,200 employees working at more than 20 different sites in India. Hundreds of employees join and leave the job every month. I have received their wage details until the month-end. Therefore, I have prepared the PF Challan approximately, considering the previous month's data amounting to Rs. 25 to 26 Lac, and paid it before the 15th of every month. Any differences in the challan will be prepared and paid along with the Annual PF Return.

In this case, what should I do? I am in trouble.

Kindly suggest.

Prepare the Excel sheet as specified in the ECR PDF. Save the Excel sheet in CSV format. Open the CSV file in Notepad and save it as a .TXT file. Upload the TXT file. You will receive an acknowledgment. If you need any clarification, please call. :)

When you find a log error, open the link. You will discover that some errors have occurred due to a mismatch with the EPFO format. The log error specifies which row contains the error(s). When I uploaded the file, I faced the same problem. However, after rectifying the errors, I successfully updated the E-sewa and electronic challan of PF for the March contribution.

It is somewhat complicated and requires some training. Moreover, separating each field by #~# is a difficult and cumbersome task. The process should be simplified to make it more user-friendly.

I am using the E Return Tool 4.0. I am facing some issues as follows:

(My system configuration is Intel Dual Core, 2GB RAM, 500GB HDD & OS – Windows 7 Professional)

1. In the report for employers: there is no report format for currently active members in the organization.

2. How to back up (or transfer the data to another computer) our establishment's data.

The data (establishment details, employee personal & monthly data) in the above .mdb files can only be displayed when these .mdb files are in this path: C:\program files\EPFO\App_code

For backup of the App_Code folder (Bakup.mdb, est.mdb, form3a.mdb, ret.mdb), I tried to copy the App_Code folder (Bakup.mdb, est.mdb, form3a.mdb, ret.mdb) to my desktop/another computer's desktop/C:\program files\EPFO\App_code. Then there is no data available in the above .mdb files.

I also opened the password-protected files (Bakup.mdb & ret.mdb), but there is no data available.

Please let me know if my computer has any kind of HDD problem. I want to transfer the data to another computer for the E Return Tool. How can I back up the App_Code folder with all the data?

Dear Seniors, can you help me understand what EPF is and what its use is? Recently, I joined as an Admin & HR in a private company. All the PF details are managed by the head office in Delhi, and I am responsible for handling all the documents in Chennai.

My query is regarding yesterday when I went to submit the PF details for March 2012. The banker told me that I need to go online, download the document, fill in the details, and submit the necessary documents. Could you support me with this? Your help would be greatly appreciated.

Issue with Challan Entry in EPF e-Sewa Portal

I have uploaded the ECR in the e-Sewa portal of the EPFO website, but I am unable to use the 'Challan Entry' tab. When I click this tab, it does not show any active space where I can enter the data.

Please help.

Dear Sir, the first line is not following the ECR upload structure. If you have included a header row, please delete it and attempt the upload again. If you encounter further issues, kindly forward the Excel file to me, and I will convert it to an ECR text file for you.

What you are saying is absolutely right. There are many problems if an employee's contribution is based on the full basic salary, and the employer's contribution is restricted to ₹6,500. I tried a lot, and finally, I left that option altogether. I have not yet started filing Annual Returns using the E-Return tool. I don't know why they are making things complicated. Compared to other statutory software like VAT, ESI, and PT, PF is very complicated. 

I do agree that it is simple, but there are bugs. I hope you haven't tried the below options. Try using the option where ER contribution is restricted to Rs. 6500/- and Rs. 780/-, and EE Contribution is based on the full basic. You will find the bugs. 

DOE EPF "11-09-2013" (Field 23) - incorrect date format on line number 19. All dates should be in DD/MM/YYYY format, so the date should be DOE 11/09/2013.

Error Code 031
DOE EPS "11-09-2013" (Field 24) - incorrect date format on line number 19. Same as above.

Error Code 021
DOB "10-06-1989" (Field 19) has an incorrect date format on line number 29. Same as above.

Error Code 025
DOJ EPF "28-08-2013" (Field 21) - incorrect date format on line number 29. Same as above, and it will only accept dates for the month of November. You cannot provide any dates related to October.

Error Code 027
DOJ EPS "28-08-2013" (Field 22) - incorrect date format on line number 29. Same as above.

Error Code 002
Member ID "" (Field-1) is incorrect on line number 30. The PF number may be wrong.
