Dear Guneet,

Date of joining is a very special day to any employee. You can do inductions every day or twice in a week depending on your busy schedule.

The following activities are what you need to do on the date of joining.

1. Introduce the New joinee to all employees on the floor.

2. Special introduction to the HOD's. Special introduction includes that the meeting with the HOD's should be a discussion for a few minutes and the HOD should mention about their department's role in the organisation and when does the new joinee coordinate with their department. Please accompany the new joinee to each and every employee. Never give an accross the table introduction.

3. Take him thru the office, showing the office library, cafeteria, wash room, games room etc.

4. Then given him a formal induction program, focusing on the company’s mission and vision.

5. Get his PF form filled and take the necessary documents and information from him.

6. Show him his table and hand over his appointment letter after settling him down.

Along with the appointment letter, you can give him the Gift Pack. A gift pack can contain the required office stationary, any souvenir, a box of assorted sweets, a good box of cookies, a coffee mug etc.

7. Take the employee for lunch/ dinner. The Team leader or Manager can accompany you when you are going out for Lunch.

8. Post lunch/ dinner, ask the new joinee to browse thru the company's website.

9. You can as well tell the employee to go thru the company's hand book.

10. Provide him the access card the next day just to ensure that he is in.

Hi Guneet,

1. Give them a bouquet with chocolates.
2. Introduce them to everyone if it is a small office or introduce them to the Team Leader for big offices.
3. Provide them with a notebook, water bottle, and pen.
4. Provide an I-Card and an Access Card.
5. Make a note on the notice board so that all employees can be informed.
6. Introduce them to the director.
7. Guide them about the entire office location, including the pantry and canteen.

Hope almost all practices are covered by our HR friends. Also, an email should be circulated to all employees in the unit with a scanned copy of the new employee's passport-sized photo, along with a short note on their previous experience, current role, and span of control. This email should be copied to the new joiner as well in cc.

Thanks,

Bank Account Form
ID card,
Visiting Card,
MediClaim policy (if applicable),
Joining form,
Useful stationery like a beautiful pen and diary or any,
Invitation for team dinner (one weekend in his first month),
Nice table clock or pen stand,
Warm welcome,
Introducing him to every department head, key personnel, and teammates or colleagues,
Ask him to join for lunch on his first day,
Offer a small treat :-) (snacks and tea),
In my view, one never gets a second chance to create a first impression.
So, try to create an impression like you are accepted as our new family member, and we have to travel a long way together.
Make sure he feels comfortable and convenient; then only he can deliver his best.
As humans / as HR professionals, we should show our care, concern, empathy, and love towards people. As a new person to the environment, due to his fears and problems, he requires more attention in these areas :-)
Gurubhyonamaha / Namaste :-)
Many regards,
Nagarjuna Kandimalla:-)

You may create a gift hamper for them in a nice company-branded gift box, which could also be used by them later. The gift hamper should ideally have things that show that as a company, you care and welcome the new employee. It could also be personalized with the company branding or the employee's name.

The Gift Hamper Could Include:

1. Notebook with a pen
2. List of important phone contacts (official)
3. Customized visiting card case with their cards
4. Coffee mug/travel mug/sipper bottle
5. Company's own keychain

Thank you.
