Salary Register and Employee Signatures: Is It Necessary for Every Paycheck?

Hi All,

My question is, if a company opens accounts for all its employees and pays salaries by transferring the amount to their respective accounts, is it necessary for the salary register to be signed by each employee? Additionally, do employees receive salary slips?

I am hoping for some insightful responses from you, friends.

Instead of collecting the signatures of employees, please include the relevant account numbers. This will meet the requirement.

You are required to provide the salary slip, even if the payment is made through the bank.

The salary slips can be mailed to all employees. It is a must to give salary slips to all employees. You can create a website with the help of your IT department, on which the portal can be the same, and every employee can view their salary slip online. You can provide unique login IDs and a default password to start with, which can be changed later by them. You can become the administrator of the same.

It is not necessary for employees to sign the salary register; it needs to be controlled and validated by HR and Finance departments only.

Hi Prashant,

When you are crediting salary to an account, it is not required to take a sign on the register. However, the company should provide a salary slip to the employee to understand the detailed calculation of the salary with deductions. The sign on the register is for record-keeping purposes, but when transferring the amount to the employee's account, the transfer details can be obtained from the company's account itself, so there is no need to sign the register.

When a payslip is provided by you and salary is transferred to the respective account, then an employee's signature is not necessary. However, you should input the bank or account number in the signature column in the salary register.

It is advisable to obtain acknowledgements of salary paid to the employees, and it is safe in all respects. Moreover, if the establishment is covered under the Shop Act, the labor inspectorate may stress that.

As mentioned above by Shri. P. Ramchandran, when an establishment is under the Shop Act, it is necessary to maintain a Salary Register. My question is, "Under the Factories Act and Minimum Wages Act, is there any provision for a Salary Register, Employee Sign, and Payslip?"
