Building the Perfect Induction Kit: What Essentials Should We Include for New Recruits?

We are planning to have an induction kit for our new recruits. In my mind, we should be including the following items in our kit:

a) Employee Handbook
b) Induction PPT
c) Note Pad
d) Induction Program Details
e) Pen / Pencil
f) Diary
g) Company Newsletter/Pamphlets
h) A Brief about the unit/department the person is joining
i) Induction Plan for the next one month
j) Job description of the new recruit.
k) HR Policies

Is there anything else we can include? Please let me know.

Hi,

Perhaps you could include some forms as well, like PF transfer forms or any such forms that they may require in a month's time. Also, depending on your budget, a CD would be a good idea detailing things like company history, profile, etc.

I hope you have taken care in the employee handbook to involve miniscule details like how to dial an outside number, the extension numbers of all in the organization, along with the organization chart.

Also, most importantly, there should be a list of persons with their contact details whom the employee can contact regarding any HR policies.

Please explore the feasibility of the following:

Induction Manual:
Should have a message by the Chief Executive/Head of HR. Aim & Objectives of the Induction Programme, Company Vision Statement, Reading Material on Topics to be covered during Induction Training, if applicable, such as Introduction to Organization/Company, Strategic/Corporate Plans, Introduction to Functional Issues i.e. Marketing, Finance, HR, Materials/Supply Chain, etc., to give an overall perspective.

Joining Kit:
Company diary, Program Schedule, List/details of all the Trainees, Important Phone numbers, Nearest Market, Hospital, Bus Stand, etc., FAQs, Synopsis on Joining Formalities, Forms/Formats to be filled in at the time of joining, Names, Phone numbers of Mentors or other Important Contact Persons, Induction Schedule, Tie with Company Logo, Purse with Company Logo for Ladies, Brief on Place of Induction and how to access it - logistics, etc., Emergency Facilities/Contact Persons.

These are a few things that struck me at random.

I am new here. We have a 15-day induction program for the new recruits. I have to design a feedback form for every day. Can someone help regarding this? If any format is available that includes quantitative and qualitative aspects.

Dear Pallavi,

Since it's an induction program for your new recruiters, I advise you to include an organizational chart and any special message from the founder director of your organization. This will help the new recruiters feel at ease and comfortable in their new workplace.

Daily feedback from newly recruited trainees could be in the form of a Learning Diary, indicating two to three points learned for each session conducted as per the attached format. A copy of this filled-in format can be collected by the training coordinator the next day, while the original is returned to the concerned trainee after taking a photocopy. This way, a trainee also builds a list of learning points and retains it for future reference. This could be referred to during subsequent interviews, if required. Otherwise, the trainee uses it as notes in the future.

At the end of the program, you could obtain feedback as per the second attachment to gather his reaction feedback.

Probably, you can also add a brief on company inception. Additionally, include information on the insurance scheme and its highlights, product profile, product lines, and the role a new hire is supposed to play.

I think you need to include the following:

If your company provides salaries through the bank account, you have to provide an application form to the employee to open their salary account. If the employee already has an account with your bank, you need to give them a transfer letter to transfer their personal account to the salary account.

You can also include an outbound training program for all the new recruits woven around themes like Leadership and Change. You could also assign a mentor to each one of them so that they could learn the ropes of the organization faster. These two initiatives will go a long way in retaining the talent pool you are hiring.

- Email/internal contact numbers/mobile numbers of the important department heads.
- Organization's expectations from the employees, e.g., culture, practices, etc.
- Most importantly, what is expected from the ex-employees?

We may also add the code of conduct, disciplinary rules and regulations, and a feedback form asking how the candidates liked the whole induction program!
