Struggling with PF Numbers and Slips? How Can HR Navigate Employee Queries?

Hello, everybody.

Every time I ask my A/C department to provide my staff with their PF No and PF slip, they always make some excuses, like the Ministry of Labour has not decided on the interest rate yet or any other excuse. Some of my employees don't even have a PF No.

Kindly help me and suggest what to do in this case.

1) Can we know our PF A/C details if we have the PF number, and how?
2) If we don't have a PF number, how can we obtain it from the A/C department?
3) In the year 2007-2008, when did the PF department announce its statement and issue the slip?

Please help me as every day employees come and ask me the same questions, and being in HR, I am helpless to reply and don't feel good about it.

1) Can we know our PF account details if we have a PF number, and how? As far as I know, there is no online system to check your PF balance details. You can do one thing: from your payslip, you have to find the PF amount, double it, and calculate for the particular year (March to February). Every year, the government announces the rate of interest for the PF, so you can make the calculation.

2) If we don't have a PF number, how can we obtain it from the accounts department? PF numbers are allotted by the company itself, so you have to put pressure on the Accounts Department to allocate the PF numbers to the employees. In Form 5, they have to fill the PF number of all the new joiners to file the monthly return.

3) In the year 2007-2008, when did the PF department announce its statement and issue the slip? In March-April, the company has to file the Annual PF return. If you have more than 100 employees, then you need to submit the soft copy of the return along with the hard copy in Form 6 & Form 3. Depending on your relationship with the PF authority, you will receive the PF slip in the next 3-4 months.

Point 1- you can know your PF a/c details simply by going to the PF office your company comes under. Present your complete PF number (includes your state and company number). The PF office will give you your balance as on last month.

Point 2 - Your company's acct. or HR deptt. shall give you your PF number. It is your right to get it if pf is being deducted from your salary.

Point 3 – In the year 2006-2007, the PF slips were late as the Govt. was reconsidering it's interest rate. Finally it was kept on 8.5% only. The slips were received in my company in the month of November 07. As per your question, the PF slip for 2007-2008 can not be generated now. It is generated only once a year, after the salary of February is paid in March. You can expect the current PF slips around may/June.

Any more queries you can ask me. But one thing u must ensure that every employee must get a pf number, if deductions are being done. Otherwise the money may be going into wrong hands.
