Hi,

I thought MIS reporting is the name given to technology/processes and is not constrained to HR. It could be used to report any aspect of any functional area, more as a form to gauge the metrics of an area.

MIS - Management Information System

Management - could be for:
1. Sales & Marketing
2. Human Resource
3. Accounts & Finance
4. Stores & Materials
5. Operations, etc.

Information - could be for:
1. Daily leads / cold calls
2. Daily sales / recruitments / expenses
3. Employee database
4. Inventory / stocks, etc.

System - is the systematic and organized compilation of all kinds of data.

MIS format can be developed according to your needs. For example, let's talk about HR consultancy.

There are two areas of functions on a daily basis - Recruitments and Business Development. In this case, two MIS reports can be developed.

For Recruitment -
S.No. | Company name | Position vacant | Candidate's name & Ph. No. | Status | Comments

For Business Development -
S. No. | Company Name | Person spoken to | Designation | Contact no. | Current Recruitment process | Status | Comments

Similarly, the headings can be made according to your company and your functional area, be it HR, Sales, Accounts, Operations, Stores, etc.

Regarding HRD, you have provided all the information, which is indeed very useful. I just wanted to know what reports need to be submitted concerning Finance and Accounts.

MIS for Finance includes:

1. Monthly report for Letter of Credit: This report should include details such as the number of LCs opened during the month, the amount of LCs (local and foreign), merchandise details, whether LC is DA or DP, due date for LC, LC payments made, and any other required information as per the department's needs.

2. Monthly report for Bills discounted with banks: This MIS should contain information on the number of bills discounted with the bank, bank-wise information in case of multiple banks, due dates for bill payments, purchase dates for bills discounted, commission paid to the bank, interest charged by the bank until the due date, details of other bank charges, etc.

3. Monthly report for Bank operations: This should cover the opening balance of all banks, amounts deposited and withdrawn during the month, closing balances, details of LCs utilized and available balance limits for opening LCs, information on bills discounting, summary for the month, Bank Guarantees issued, and more.

Concerning Accounts:

1. List of Debtors and Creditors as of month-end
2. Financial statements: P&L account, Balance sheet
3. Stock statement
4. Statement of Taxes payable to the Government
5. List of major assets purchased
6. Debtors aged more than six months
7. Sales and purchases amounts during the month
8. Total production during the month

The details mentioned above vary based on the organization's size and the management's information requirements.

The NSS form (National Social Security) is used for nominating individuals and serves as a photo identification proof when withdrawing money from EPF.

Dear All,

MIS report is known as Management Information System regarding the Manpower status of a particular month, place, and overall. It helps the Management in decision making, like what are the reasons for resignation, in which area attrition is high, and many other things to assist in decision making. With the help of MIS, you may prepare a lot of reports, such as annual attrition, region-wise attrition, region-wise manpower, graphical representation of regions' manpower status, and so on.

You may prepare the same at your end. As it will help you to prepare other such formats too. I am describing the contents with sheet-wise.

First Sheet-

Details of employee: a. E.Code b. Name of the employee c. Date of birth d. Designation e. CTC f. Address for communication g. Permanent address h. Contact number i. Blood group j. Maximum qualification k. Extra qualification l. Total Experience

Second Sheet-

Salary structure. In this sheet, write down the complete salary structure and make a column for the salary after any revision.

Third Sheet -

New Joinees. In this sheet, write down the name of New joinees of that month with details like CTC, Designation, DOB, etc.

Fourth Sheet -

Resigned employees. In this sheet, write the names of employees who resigned during that particular month with details like name, designation, date of joining, date of resignation, last working day.

Fifth Sheet -

Attrition rate. Based on this MIS report, you may find out the attrition report, Qualification analysis reports, team management reports, and so on can prepare a number of reports.
