Confused About PF Forms? Seeking Guidance on Issuing and Submitting Them Correctly

Hello Seniors,

I am working as an HR Executive in a small organization. I want to know what all forms are required in PF and at what time I have to issue these forms to employees and when I have to submit the forms to the PF office. Seniors, if you have the format of PF forms, please attach them. I don't have a well-versed knowledge of PF and ESI. Please help me.

Following is a list of the forms for PF:

1. Combine challan 1, 2, 10, 21 & 22 (single form): used for payment of PF to the authorized bank.

2. Form 5 & Form 10: for intimation of new members joining the fund & leaving the fund (to be filed monthly).

3. Form no. 12A: used for filing monthly returns.

4. Form 2 (revised): used for nomination of PF (to be filed at least once when a new member joins the fund).

5. Besides this, you have to give the PF breakup list (Employer contribution, Employers Contribution to Pension fund & PF every month).

The due date for payment of PF is before the 15th of the next month. The due date of filing the monthly return is the 25th of every month.

I recently joined this forum and I need some information regarding the annual returns that must be submitted to the P.F. Office. Additionally, I would like to understand the significance of Form-9 and what information needs to be filled in it.

Thank you for the nice information posted. Could you please explain or provide the reference for the details to be furnished in Form 10 for the member leaving? Will it be information of the people left in the same month for which we are filing the return (i.e., the people who left in April for the return to be filed in May) or the details of the preceding month (in this case, for March)?

The reference to the clause in the EPF Act is as follows:

In this connection, we draw your attention to para 36(2) of the EPF Scheme 1952 stating:

"Every employer shall send to the Commissioner within fifteen days of the close of each month a return -
(a) in Form 5, of the employees qualifying to become members of the Fund for the first time during the preceding month together with the declarations in Form 2 furnished by such qualifying employees, and
(b) in such form as the Commissioner may specify of the employees leaving service of the employer during the preceding month."

Regarding the yearly contribution of PF, Form 3A pertains to the yearly contribution of each employee, whereas Form 6A consolidates all contributions in the organization.

Form-5: Form for the EDLI insurance in case of an employee's death

Form-10c: Form for withdrawing employee pension under the scheme (8.33%)

Form-13: For withdrawing advance PF for Ex-Marriage or Houseloan.
