This is Ashok in need of a letter format addressing to my MD letting him aware of two of our employee who have successfully complete their probationary period of Six month,about the confirmation and appraisal.

Dear Ashok,
Here are a few tips you need to keep in mind for the letter you want to write
Name the employees with their joining dates
Mention their designations
Bring to notice the date when they complete their probationary period.
Mention their attendance record & work achievements in a ratio of expectation:deliverance
Finally add your view in brief about what you would recommend be done further eg. extend probation or give confirmation to the said employees.
This pattern will smoothen the rest of the procedure & your work will be quicker & efficient.

write to your MD - subject - employee confirmations.
With reference to the above, i would like to bring to your notice that Mr X and ms Y have completed their probation (or going to complete their probation) period on_________. Mr X joined us on _________ as _______in the __________department. He has _______years of experience and is at _______salary.
similarly for MS y.
kindly advise the next step.

PS- I think ideally u should send a mail to the department head with a cc to the MD (if he is also involved in this decision making). let them talk and revert on decision.
