How Should Appraisal Cycles Work for Employees Who Joined Mid-Year?

How should the appraisal cycle flow for an employee who has a joining date of 1st June 2023?

And how should the clause of the appraisal cycle be mentioned in the appointment letter?

Should the clause be something like, "Employee should be eligible for the appraisal cycle if they have completed at least 6 months or 1 year with the organization"?

Hi, What is the appraisal cycle for your company? Is the appraisal due by April of every year or any other month? For new joiners, depending on their date of joining (DOJ), you need to bring them to the regular appraisal cycle by providing a mid-year increment.

Hello Sir, Thank you! Here, the increments are due in the month of June and some in October. As this is a startup organization, they did not follow any specific cycle, so it needs to be regularized.

Hi, understood. Make a common increment cycle for all employees, preferably by June of every year.

For employees joining after June, for example, by January, once they complete one year by the subsequent January, issue one part increment with effect from January and then another part in June, thereby linking them to the annual cycle. The same concept can be applied to employees who join in the middle of an increment cycle.

Employee Strength and Appraisal Cycles

What is the employee strength of your company? If it is significant, you can divide the appraisal cycle into four categories in a year: 1st January, 1st April, 1st July, and 1st October. The date of joining of employees determines their category. Employees who join between 1st January and 31st March shall fall into the first category. Similarly, employees who join between 1st April and 30th June shall be in the 1st April category. For those whose date of joining falls between 1st July and 30th September, their appraisal shall become due on 1st July the following year. Likewise, employees joining between 1st October and 31st December shall fall due from 1st October the following year.

Thus, you will have four cycles in a calendar year.
