How to Address Uninformed Leave and Sandwich Leave Deductions in an Email?

Hi, please help me write an email. An employee took leave without informing the concerned authorities, resulting in the deduction of sandwich leave.

Hi, availing leave without prior information to an immediate superior is misconduct, and an employee can be warned for taking unauthorized leave or marked as LWP for the said day. The concept of sandwich leave is different. How are you linking leave without information with sandwich leave?

Hi, if an employee is on leave from Friday to Monday, you may apply sandwich leave. If the leave on Friday is without information, then:

1) You may warn the employee for unauthorized leave and apply sandwich leave, or
2) Consider the leave without information day as leave without pay.

Warning for Unauthorized Leave

Dear _____,

It is observed from the attendance records that you remained absent from duty from ___ to ___, and it has been brought to our knowledge by your immediate superior that you have not obtained prior approval for your leave on ___. You are hereby warned and advised to plan your leave well in advance wherever possible and to update your immediate superior well in advance. As you took leave from ___ to ___, 4 days leave will be deducted from your _____ leave balance (CL/PL).

You are hereby warned and advised to refrain from proceeding on unauthorized leave.
