Is It Okay to Email Employees About Filling Out PF, ESI, and Gratuity Forms?

Dear all, I work for a startup that has around 50 people in total, including the sales team. I was asked to share the PF, ESI, and Gratuity forms with all employees so they can fill them out individually and give the hard copies to me. I have sent an email addressing everyone, explaining each form.

Is it wrong to send an email to everyone asking them to fill out the above forms since they do not contain any confidential information? These are general forms for employees, and I have not shared any other confidential details or salary information about anyone.

It's not feasible to have each form filled out individually by going to each person and making them fill it out. They need to send the form back to me individually.

Hi, there is nothing wrong with communicating through email, advising them to fill and submit the statutory forms. Are you asking for the draft or checking in general whether such practice is right or wrong?

As part of statutory requirements, we need to collect PF, ESI, and Gratuity forms from each employee. We have already circulated the necessary forms to you. All are requested to fill out the form and submit it to HR individually.

If anyone has doubts regarding filing the form, please don't hesitate to contact the HR department.
