Dear All, Need advice on the below mail drafted for employees who have not informed about their client visit.

Dear Team,

We request you all to plan and inform about your leaves well in advance to your supervisor/HOD, keeping HR in the loop. While we encourage you to attend client meetings, we also expect you to update us about your client visit and/or any office-related work. It is advisable that you come to the office, mark your attendance (in-time on the machine), and then proceed for a client visit, doing the same in the evening. If you are unable to come to the office, kindly inform your immediate supervisor/HOD one day (i.e., one working day) prior to your visit, and you can also notify me.

You are hereby requested to extend your kind cooperation.

The contents are satisfactory. Additionally, it is suggested to include a line cautioning that non-compliance will result in appropriate actions, such as the stoppage of increments for defaulters, and so forth. It is also required to submit a monthly report containing all client visits, follow-up actions taken, etc., on or before the 5th of every month to the HODs, with a copy to HR.
