Confused About Linking UAN with ESIC? How to Handle Different Employee Scenarios

It has been told to link UAN with ESIC, but what to do in scenarios where:

1) A person has only ESIC and no UAN because they are not eligible for PF due to no past PF history and a higher salary bar?

2) A person has both but has only provided the firm their ESIC number?

3) A person has multiple ESIC numbers?

I kindly request the learned professionals to help me understand each scenario and what actions need to be taken.

Scenario 1:
There can be persons excluded from PF but covered by ESI and vice versa. If you have employees with ESI but without PF, there is no issue; just provide a reason for not having PF.

Scenario 2:
If employees have both, furnish both numbers. What is the issue? If you have given only ESI, then register him in PF also, generate UAN, and furnish it.

Scenario 3:
No worker can have multiple ESI numbers. Normally, when you register a new employee, the system will ask if he is already registered. If you have answered "No" and registered him with a different telephone number, bank account number, and Aadhar number, then take responsibility and correct it with the ESI Corporation. (I don't know how this happens when everything is linked together!)

Untold:
The objective of linking the UAN with the ESI Number is to identify who is not given PF registration and if there is any omission. However, when the laws pertaining to both are different regarding coverage, the purpose of such linking is known only to those who have made it!

Handling ESI and UAN Numbers

If a person has an ESI Number but no UAN Number, there is no issue; their entry in the UAN column will remain blank. If questioned, they can explain to the ESI Office that they do not have a UAN number.

For individuals with both ESI and UAN numbers, the UAN number should be added along with the ESI number. If the person does not provide the UAN number, it can be verified through the Aadhaar card, and then the same UAN can be added to the ESI record.

Managing Multiple ESI Numbers

In cases where a person has multiple ESI numbers, the first step is to register all ESI numbers on the ESI portal. Then, verify which ESI number is linked to the UAN. Subsequently, that specific ESI Number should be used for further proceedings, ensuring that ESI and PF contributions are synchronized, rendering the other ESI numbers redundant.

Employees should be educated about their ESI numbers to prevent instances where they attempt to create new ESI numbers when changing jobs.
