Stuck with PF Transfer? How to Add Your Joining Date Without Employer's Help

A person worked in a company for 7 years. When he left the company and tried to transfer his PF balance to his current company, he found that his previous company had neither added his joining date nor his leaving date. Despite requesting many times for his previous employer to add the joining date, they did not take any action. The person has his joining letter from the company. Now, please suggest how he can add his D.O.J. to the portal without the employer's involvement. Is it acceptable to submit a joint declaration supported by the joining letter?

It is possible that the previous employer has not put the date of exit, but there is no way it is possible to miss out on the date of joining because without the date of joining, an employee cannot be registered. At the time of registration by the previous company, they should have put the date of joining. Only the date of exit would be required. Please check.

Now, the member portal has a provision to put the date of exit by the employee himself. Ask the employee to log in to his member portal and mark his exit date.

Employer can update the date of joining and exit by logging in from the employer account. Alternatively, the employer can submit a written application to the respective PF office.

Madhu Sir, what I experienced is if work is handled by a labor law consultant, they don't make an effort to ask for the exact date of joining. Instead, they just mention the 1st date of that PF starting month. The company notices this when an employee complains about it.

That is okay, but at least a date of joining would be there. But the issue is not about the exact date of joining but the non-availability of the date of joining is the issue. My apprehension is how can an employee be registered without putting a date of joining? It is not possible. There is a chance that the employer has not exited the employee and for that, the employee has a remedy in his portal. Anyway, let the thread starter, Mr. Taaraakmondal, confirm it.

My previous company did not mention the date of joining in my PF account. Now, I am unable to withdraw my PF amount, and they have clearly stated that they will not update the date of joining in my PF account. Perhaps they want money from me. Please guide me on what to do. I have their issued experience letter, but they still haven't mentioned the date of joining in my PF account. Due to COVID-19, I am facing a lot of financial problems, but they don't seem to understand. Please help and guide me.

Dear Ajay, you may reach out to the Regional PF Commissioner where your PF account is maintained. If no solution is provided by the RPFC, then you may contact the Central PF Commissioner in Delhi.

Handling Missing DOJ in PF Records

The Date of Joining (DOJ) cannot be missing, but for employees who worked before June 2014 and left service, their records may show it as missing. In such cases, the allotted UAN number also remains with the employer, and the employee cannot obtain it without communication from the employer.

Options for Resolving Missing DOJ

1. Form 5 and 10 Submission
- Obtain these forms from the concerned employer to address the issue.

2. Joint Declaration
- Submit a joint declaration from both the employee and employer, which would suffice for the correction.

3. Manual Form 13 Submission
- File a manual Form 13 with your own calculated DOJ and Date of Exit (DOE), duly signed by the present employer for transfer. Subsequently, the department will request the previous employer to confirm it.

Alternatively, they can contact the member to provide the source of such available dates. The preferable option is to rectify the situation with the assistance of the previous employer.
