need a mail drafting

Dear Team,
I need a draft for the employment details as some of employees of my branch are gone to Mumbai for 2 month for some official work so they need some document or written proof on letter head that they are the employee of our company so that they can have a room on rent.
so i need to have the some draft which i can share with them.
