Employee Left Without Notice: Should We Approve His KYC and Mark Exit on PF Portal?

Please help me understand a few things. It's a case where an employee exited and wants us to approve his KYC on the PF portal as well as mark his exit on the PF portal.

Employee Exit Details

Here are the following details:
- Date of joining: 01/04/2019
- Date of joining exit: 14/05/2019
- Resigned on: 13/05/2019
- Resignation accepted by manager: 13/05/2019
- Notice period: 1 month

He didn't serve the notice due to his personal problem. Hence, he left the organization on 14th May 2019 without serving the notice period or buying out.

He said he is ready to buy out and asked to adjust his 14 days' salary against his buyout. He only wants KYC approval on the PF portal and to mark his exit on the PF portal.

Management's Position

Management states that he has not served the notice period. He left the company simply by emailing us to adjust his 14 days' salary against the buyout. Therefore, his exit formality is not completed. He has resigned but not served the notice period or bought out, hence considered as absconding.

Please suggest on this case. Can we consider this case as absconding? What about KYC approval and marking exit on the PF portal?

Hi,

Even though the employee left without information and didn't serve proper notice period, you cannot keep his file open for many years. As the employee agreed to adjust his 14 days' salary against the notice period, you may either properly relieve him or terminate his employment for not reporting and not serving notice, as per your company policy. Whatever the decision may be, close his case based on his last working day and update it in the PF Portal.
