Long-Time Employees Without Appointment Letters: How Can We Address This Compliance Issue?

Dear Sirs,

We have some workers who have been associated with us for the past 18 years, and the company has not issued any appointment letters to them at the time of their joining. Additionally, the company's name has been changed three times in the last 18 years.

My query is, can we issue them appointment letters now by mentioning their actual date of joining on the existing company letterhead? Or is there any other way to fulfill the compliance of the joining date, etc.?

I request your valuable advice regarding the same.

Is your management ready for this? Whether workers ask for an appointment letter? Whether your establishment has the same code under EPF & ESI throughout the changes of name? If the reply is 'yes', you can go ahead with the issuance of letters, but you have to provide the details of employment for the two companies that were existing prior to the present one. All the respective letters are to be signed by your MD only.

Dear Sir,

Thank you for your valuable advice on the matter. The PF and ESI codes remain the same for all employees, despite changing the name of the organization. Employees are not asking for any letters; however, as a precautionary measure, my organization wants to close the loop. Can we issue them appointment letters on the existing company name letter?
