How Can HR Create an Effective Weekly Meeting Schedule and Reporting System for All Departments?

We are going to implement the weekly meetings schedule form maintained by HR. Currently, all meetings are running regularly, but there is no proof, reports, and filing system. So, a weekly plan meeting with reports status needs to be maintained by HR. For that, I need a template and ideas. We have three departments: Production, Sales, Operations. I will attach the topic as an example. The template should include Day, Department, Time, Meeting, Organizer, and Participants. For reports separately, I need proper wording. I have attached the template. Please do the needful.

Your template is okay. I suggest adding further details such as the location, the list of attendees for each appointment, and the deadline by which agenda points are to be submitted. Maintain fixed dates and times for meetings and circulate the schedule on a monthly basis to all involved parties with a copy sent to your Head of Department. Minutes of the meeting must be prepared and distributed to all relevant individuals for action and feedback.
