How to Handle Employee Jealousy Over Salary Visibility in Manual Signature Process?

rmvignesh
In my company, the employees are signing the salary statement manually. They also see the other employees' salary and increment amount. It is mandatory to get the salary statement signed. Individually, the employees sign the payslip and time card too. Employees are jealous of other employees and are complaining. Can someone help with the proceeding further?

I am using the salary calculation and attendance features of the software only. However, auditors will ask for the signature on the salary statement.

If you pay in cash, employee signature is essential. But if it's through bank transfer, then a bank statement will suffice for the purpose. Your auditors need to be updated on this.

Employee used to sign to acknowledge receipt of payment, but the bank transfer statement confirms that the monies have gone to the employees' bank accounts.

Employees are signing the payslip, but they might be reluctant to sign the salary statement where all the employees' details are available.

Dear Ranvignesh,

You do not need to pay salary in cash or by check; you can directly deposit their salary into their respective salary accounts. After that, you will not need to have the salary statement signed by the employees.

Payment of Employee Salaries

Yes, the payment of employees' salaries goes through HR management. According to labor laws, the HR signature is essential as it represents the management. Use a digital key to provide a signature on the entire consolidated salary statement for all employees. This showcases your good offices. Keep up the good work.

Handling Salary Statement Privacy

Oh, sorry, your query is about colleagues' employee salary statements being seen by employees who come to sign as acknowledgment. According to the Payment of Wages Act, all employees' salaries should be deposited into their respective individual accounts only. Therefore, if you follow and apply this, your problem will be solved. Moreover, an individual's salary is their personal information. Only higher inspecting staff, auditors, and trade union leaders can view it upon demand unless it’s strictly confidential.
