Navigating EPF Settlement for a Short-Term Employee: How Can We Resolve This Issue?

Hi Seniors, A gentleman joined our organization last November and worked for 7 days before resigning. Despite our repeated requests, he has not sent across the exit documents necessary for us to settle his full and final payment. We owe him 7 days' salary, and as we have waited until now, our management has decided to issue a cheque for the owed amount and send it to him via registered post.

However, a concern arises regarding the settlement of his EPF since we did not upload the ECR for him in November due to the old system in place at that time. Is it possible for us to link our establishment code with his UAN (as mentioned in Form 11 upon joining) to process his EPF now? If he has been employed elsewhere since then, how would this impact the process? Can we retroactively add him, stating his joining date in November, and upload the ECR at this point?

We are seeking advice on the available options regarding the EPF settlement. If anyone has knowledge or experience with EPF procedures, please offer your suggestions.

You can remit EPF contributions as "arrears," which attracts interest and penalty at a later date for belated payment. When linking his UAN, show the exact date of joining as per records. Similarly, the date of leaving should also be the exact date.
