Identify the employees who need to visit the office after office hours and instruct all employees to carry valid ID cards. If not available, provide a temporary ID card. Additionally, instruct them to undergo a security check upon entry and exit. Ensure that all employees sign this letter. Hand over the letter to the building management by obtaining an acknowledgment.
Ensure that permission is granted for a minimum number of people and whenever an employee leaves or there is a change in name, cancel the existing entry (take the existing original from security, physically cancel it, and issue a revised one).
A small piece of paper with the company seal must be kept available for the individuals. The last person must initial on the paper and seal the door. The first person opening the next day should ensure the seal's availability before opening, failing which there is a possibility of misuse.
You should create a Standard Operating Procedure (SOP), circulate it among all employees, obtain confirmation signatures from each employee, and initiate the new process.
