How Should I Address a Colleague's Request to Shorten Their Notice Period?

Dear Esteemed Members,

I am working as an HR Executive in a company. One of my colleagues has submitted his resignation and is requesting to be relieved within 10 days. However, as per the appointment letter issued to him, he is required to serve a 30-day notice period.

I need to write a letter to him asking him to complete the notice period before we can relieve him. We are currently working on an important assignment and cannot afford to leave it incomplete.

I am writing to remind you of the resignation process as outlined in your appointment letter, specifically regarding the notice period requirement. You are expected to serve a notice period of 30, 45, or 60 days and complete any pending projects assigned to you.

As you are aware, the project you are currently working on requires your dedicated time and expertise, making it impractical to transfer to a junior employee. Therefore, I kindly request that you prioritize completing any outstanding tasks so that we can smoothly proceed with your exit formalities.

Normally, in lieu of the notice period, the salary for the notice period is stipulated. Is it mentioned in the appointment letter? If it is, ask him to deposit one month's gross salary amount. If it is not stated, and you decide to accept his resignation, ask him to serve one month further from the date of receiving the application.
