Struggling with Delayed Confirmation Forms: How Can HR Get Area Managers to Respond on Time?

I want a draft that I can send to all the area managers regarding the delay in the confirmation process. As an HR professional, I have sent constant reminders to them to submit the confirmation template. Despite the constant reminders, I am not receiving the form on time.

Dear ASM/RSMs,

It has been observed that despite sending constant reminders for the receipt of the confirmation formats, there is always a delay from your end in sending the same. Time and again, intimation emails are sent from the HR department stating pending confirmations, but there is no improvement seen in accelerating the process.

As you are well aware, the confirmation of an employee plays a major role in motivating and retaining good talent. Likewise, it also helps us in identifying the weak links and allows us to take the necessary and desired action for the employee’s improvement.

With this said, we are again attaching the list of pending confirmations in your area. You are advised to send us the required formats on a priority basis with recommendations from both ASM and RSM. Kindly state clear reasons for confirmation or probation extension, so that we can do the needful in this regard.
