Should Employees Fill Out Their Own Job Description Questionnaire or Should I Do It?

I have prepared the JD questionnaire. Now I want to know, should I give it to the employees and ask them to fill it themselves, or should I go to them and fill it myself? What is the right procedure for doing this?

Can you share the JD questionnaire that you have prepared? Ideally, the JD writing fits into one of the steps in the process mentioned below:

- Once the KRAs are set departmentally, then KPIs are set.
- Considering the bandwidth of that department, one sets out recruitment requirements.
- Manpower planning starts where the budget is set, job analysis is done, and based on KRAs and KPIs received from departmental heads, HR prepares the JD for the to-be recruited profiles.
- And then the recruitment cycle starts. JD is shared with the potential candidates during the first rounds of interviews and with selected candidates again during their induction.

Just to highlight: JD and KPIs form the base of performance management. Hence, it is best not to leave it to the employees to fill in; it is HR who needs to prepare the JD at the beginning of the recruitment.
